Collins. SITUATIONAL UNDERSTANDING The Parks and Recreation Department is experiencing a lot of turnover due to retirements and employee moves. There is an opportunity to train Crew Chiefs and other leaders in the organization on how to be better mentors and coaches to support: • Building technical skills with new employees • Passing down the values and cultural norms in the organization • Instilling understanding and accountability around policies and procedures Mentoring and coaching skill training and development will be offered to the following group: Supervisors Crew Chiefs All Technicians Since leaders are spread out all over the city and it is difficult to get them together frequently, this proposal represents a development solution that reduces time away from work and focuses on building skills and new behaviors in shorter timeframes. PROPOSED SOLUTION PRC proposes a process that incorporates a skill assessment survey to establish benchmark data, a ½ day workshop to kick off the program, several 2 hour workshops and smaller group coaching sessions which will provide invaluable support to the leaders as they engage in new behaviors. It also incorporates a cloud-based tool called CoachMetrix that combines measurement and ongoing pulse feedback to each participant that will hold them accountable for behavioral change and will optimize the impact of this program. Information about the CoachMetrix tool is attached with this proposal. Key benefits and outcomes of this process include the following: • Develop a clear understanding of what skill gaps exist and use data to create buy-in • Help leaders to understand their role in developing a highly effective workforce • Distinguish between different forms of mentoring and coaching and determine when each approach is appropriate • Discuss challenges to forming mentoring relationships and define strategies to 
overcoming these obstacles • Clarity of values and how to coach people to live them day to day • Identify key behaviors and skills that support the values and cultures • Learn a proven coaching model to use with employees that supports your goals and values • Determine the right approach to the situation and person incorporating DISC • Using accountability & responsibility as powerful coaching tools • Learn communication tips to ensure your message is being received • Practice using coaching and feedback tools that help keep employees on track Powers Resource Center, LLC www.powersresourcecenter.com 1750 30th Street #352 303.875.5011 Boulder, CO 80303 • Track individual and group progress using the Coachmetrix platform PHASE I: COMPLETED COMMUNICATION PLAN AND KICK OFF SESSION (2-hour workshop June 1st 8:30-10:30am) • Develop communication plan for Steve to market program to leaders and to get them engaged in the process o Focus on highlights from survey and why coaching and mentoring is important this summer. Also discuss fall program as new hires are coming on board. • Workshop focus: o Discuss why coaching and mentoring is important o Learn 2-3 important coaching and mentoring techniques they can begin to use immediately with their team members to develop a coaching relationship o Support: Discuss how they will be supported throughout the summer with coaching/mentoring best practices § Tara to put together coaching and mentoring “tip of the week” for Steve or Mike to send out via email on a bi-weekly basis over a period of 3 months (June, July, Aug) o Recognition: Introduce fun and engaging recognition opportunities over the summer where staff will be able to recognize leaders who are good coaches and mentors. § Employees vote for 1-2 leaders monthly or at the end of the summer § Offer recognition like gift certificates or cash awards. § Feature them in a org wide email or announce at an org wide event PHASE II: This is follow up to keep the mentoring and coaching culture moving forward over the winter months and into next spring and summer. By focusing on skill building, application and practice, participants will begin to see mentoring as an integral tool in developing employees. WORKSHOPS: OFFERED IN EARLY JANUARY, 2017 over 2 weeks. IDENTIFY WHEN AND HOW TO COACH AND MENTOR USING SITUATIONAL LEADERSHIP MODEL – 2.5 hour session • Help leaders to understand their role in developing a highly effective workforce • Discuss challenges to forming mentoring relationships and define strategies to 
overcoming these obstacles • Introduce Situational Leadership Model. Distinguish between different forms of mentoring and coaching and determine when each approach is appropriate. • Practice how to mentor in the moment depending on the person and situation. Tara to provide scripts. PRACTICE COACHING AND MENTORING USING DISC AND CASE STUDIES – 2.5 hour session • Practice how to coach and mentor using DISC case studies • Tara to provide scripts • Take time to develop personal plans of action to identify and improve mentoring relationships Powers Resource Center, LLC www.powersresourcecenter.com 1750 30th Street #352 303.875.5011 Boulder, CO 80303 • Work on goals and behaviors that will be entered into the Coachmetrix platform COACHMETRIX LAB Tara will be onsite to train several employees at various workstations who are comfortable with technology on the Coachmetrix platform and how to set up their goals, behaviors and supporters. These employees will then train all other participants and help them get set up on the platform. Surveys will go out to Supporters every few weeks to assess if their leader is engaging the behaviors that they are working on. This tool holds leaders accountable for change and implementing the coaching and mentoring behaviors they agreed to. Tara will provide communication to Steve to send out to employees (supporters) about the 2-minute survey they will receive every month to complete. IN PERSON SMALL GROUP COACHING AT 30 AND 60 DAYS (Early Feb and Early March) – 90 minutes Small group coaching sessions to be held 30 days and 60 days following workshops and Coachmetrix implementation. • Share and discuss individual results of pulse feedback from Coachmetrix platform • Tara to provide recognition, coaching and feed forward feedback to leaders to help them progress • Help leaders identify where they may need more support from their manager or additional training/skill development FOLLOW UP - 6-month check-up survey • Send out survey to all employees again. • Review progress and additional opportunities • Debrief with leaders over the phone on survey results • Discuss next steps where appropriate IMPORTANT NOTES: • Includes phone calls and meetings between Tara and Executives as needed • Tara will provide group progress reports to Parks Managers every 30 days from CoachMetrix feedback results and offer additional recommendations as appropriate RESOURCE COMMITMENTS Powers Resource Center, LLC will provide Tara Powers, MS as the lead facilitator, consultant and coach. Lucia Laudisio, Client Relations Manager will assist with planning, communication and logistics support as needed. We will sign non-disclosure agreements as requested and all work is conducted within strict bounds of confidentiality. We will provide all printed materials, webinar platforms, phone lines, learning platforms and other support services as required. The City of Fort Collins will provide us with reasonable access to key management and any additional data as appropriate and within the time frames agreed upon. The City of Fort Collins will also adhere to the fee structure and reimbursement procedures outlined below. PROFESSIONAL FEES AND CONDITIONS: • Phase II Investment: Four installments of $3,750; Net 30. • $3,750 deposit • $3,750 after 1st workshop • $3,750 after 2nd workshop • $3,750 after 60-day check in. • Discounts: A 5% discount will be offered with a single full-fee payment upon agreement of this proposal. • Expense reimbursement: Expenses will be billed monthly as actually accrued and are due on presentation of invoice. Expenses may include meeting room space (if arranged by PRC), reasonable travel expenses (such as lodging, meals, parking fees, etc.), and other expenses that are agreed upon by both Client and PRC. • Cancelations: Client may cancel the program at any time by giving PRC a 30- day notice. Work for the current month will be completed by PRC, and fees paid by the Client through the 30-day period. • Rescheduling: From time to time elements of the program may need to be rescheduled. If needed, elements may be rescheduled to agreed upon dates by both Client and PRC as long as they fall within the timeframe of the agreement. • Change to project scope or satisfaction: Should either Client or PRC identify appropriate changes in scope or should other matters arise that would affect the proposed fees, Tara Powers, Doreen Kemp and Mike Calhoon will work together to discuss any impact and determine the best alternative for moving forward. • Other terms: The above quote remains valid until November 15th, 2016. APPROVAL: If you agree to the terms of this proposal, please sign and e-mail a scanned copy to tara@powersresourcecenter.com.
