HomeMy WebLinkAboutCORRESPONDENCE - FAX QUOTE - HOME FIRE PROTECTION EQUIPMENT (2)RFQ Home Fire Protection Equipment Page 1 of 3 REQUEST FOR QUOTE (RFQ) HOME FIRE PROTECTION EQUIPMENT The City of Fort Collins (City), on behalf of Poudre Fire Authority (PFA), is requesting quotes from companies or suppliers for a one time supply of home fire protection equipment as detailed in this RFQ. Quotes must be received prior to 5:00 p.m. (our clock), November 4, 2016. Submit responses by email to: Jill Wilson, Buyer, Email: jwilson@fcgov.com. Special Instructions Submission of a quote is deemed as acceptance of all terms, conditions and specifications contained herein. Any proposed modification must be accepted in writing by the City and/or PFA prior to award of a Purchase Order. Quotes must be furnished exclusive of any federal excise tax, wherever applicable. Bidders must be properly licensed and secure necessary permits wherever applicable. The City and/or PFA may elect where applicable, to award quotes on an individual item/group basis or on a total bid basis, whichever is most beneficial to the City and/or PFA. The City and/or PFA reserves the right to accept or reject any and all quotes, and to waive any irregularities or informalities. Sales prohibited/conflict of interest: no officer, employee, or member of City Council, shall have a financial interest in the sale to the City of any real or personal property, equipment, material, supplies or services where such officer or employee exercises directly or indirectly any decision- making authority concerning such sale or any supervisory authority over the services to be rendered. This rule also applies to subcontracts with the City. Soliciting or accepting any gift, gratuity, favor, entertainment, kickback or any items of monetary value from any person who has or is seeking to do business with the City of Fort Collins is prohibited. Purchasing restrictions: your authorized signature of this quote assures your firm's compliance with the City's purchasing restrictions. A copy of the resolutions is available for review in the Purchasing Office or the City Clerk's Office. Collusive or sham quotes: any quote deemed to be collusive or a sham will be rejected and reported to authorities as such. Intent. The City of Fort Collins (City), on behalf of Poudre Fire Authority (PFA), requests quotes for a one time purchase of home fire protection equipment. The intent of the RFQ is to award a purchase order that guarantees the quality and cost of goods. 2. Equipment Specifications. 600 units of ‘dual sensor’ smoke alarms with ten-year batteries. 300 plug-in Carbon Monoxide alarms with battery backup and batteries for each. 800 residential, automatic, fire-suppression devices. 156 9-volt batteries. 156 AA batteries. Please see attached Bid Schedule for more product details. 3. Delivery and Shipping. Shipping is to be F.O.B. Destination, Freight Prepaid, to 3400 West Vine, Fort Collins, CO 80524. Delivery must be made by or before January 31st, 2017. All freight charges must be included in prices submitted on quote. 4. Warranty. The current manufacturer’s warranty terms must be upheld for all parts, equipment and accessories. 5. Installation. Not applicable to this Bid. 6. Award. The contracting mechanism between the City and PFA and awarded vendor will be a purchase order issued by the City which will include FEMA Agreement Articles, attached separately as Exhibit A, consisting of fifteen (15) pages. FEMA Agreement Articles must be accepted without exception. SUBMITTAL REQUIREMENTS The following document(s) must be submitted by the date and time specified to: jwilson@fcgov.com. Failure to provide any of the following, or omitting any information within, shall result in the Quote being deemed non-responsive and shall not be considered. Companies may quote one or more line items or all line items listed on the Bid Schedule. The City and/or PFA reserves the option to award quotes on an individual item/group basis or on a total bid basis, whichever is most beneficial to the City and/or PFA. 1.
