No other existing named company has been in business longer. In fact, ITS still has our first client as an ongoing support and project client. ITS is timely in responses to clients through both phone and email. ITS utilizes a support email which distributes incoming support requests to the entire support staff. The ITS staff has an average of eight years with the company. No full time employees have ever left ITS. 2.0 Subscription and Support As part of the Fort Collins license agreement with IBM, Fort Collins is entitled to upgrades and new releases during the license period. ITS is part of the team that beta tests new products and we have direct access to the product team. ITS is able to provide pre-release information and support information that has been authorized for release. As part of the Fort Collins IBM subscription and via direct ITS support, Fort Collins has access to many aspects of support including:  Patches and Updates  Problem Determination and Resolution  Submitting and Tracking of Problem Management Records (PMR) via Service Request  Emails regarding IBM Notifications  Ability to search for technical information, product information, and Authorized Program Analysis Reports (APARS)  Technical Resources  Emergency and Off Hours Support 2.1 ITS Maximo Support As part of the engagement, ITS provides Maximo Help Desk support technicians during normal business hours, 7:00am - 4:00pm, Monday through Friday, excluding Federal holidays. Support outside normal business hours will be provided as necessary. Each support task is performed utilizing the most reasonably expedient and unobtrusive method available, including automatic/remote and manual/remote. 2.1.1 Contact Channels When Fort Collins requires technical support, support can be accessed by the following options: o Send email to Support@WeBuildITS.com o Call our Client Support office at (678) 490-3800 2.1.2 Support Tiers The following table details and describes ITS Support Tier levels: Table 1 – Support Tiers Support Tier Description Tier 1 Support All support incidents begin in Tier 1 Initial trouble ticket is created, the issue is identified and clearly documented, and basic troubleshooting is initiated. Tier 2 Support All support incidents that cannot be resolved with Tier 1 Support are escalated to Tier 2, where more complex support on issues can be provided by more experienced Engineers. Tier 3 Support Support Incidents that cannot be resolved by Tier 2 Support are escalated to Tier 3, where support is provided by the most qualified and experienced Engineers who have the ability to collaborate with 3rd Party (Vendor) Support Engineers to resolve the most complex issues. Information is provided on the elements that factor into pricing and the rates. ITS is open to discussion on the pricing structure and to further discern items that may affect pricing. Please note that ITS is providing two pricing quotes. IBM is raising prices on 1/1/2016. Therefore, ITS is providing a quote for purchasing prior to 12/31/2015 and pricing if purchased after. 3.1 Addendum Acceptance ITS acknowledges the receipt and acceptance of all Fort Collins RFP Addendums. 3.2 License Cost Stipulations The following stipulations are for the IBM Maximo license costs.  The pricing provided for the licenses is based on the total number of licenses and types of each requested.  The price per license cannot be used to extrapolate cost for reduced or additional number of licenses. ITS added a column to the spreadsheet to provide the total cost for each line item.  IBM has a firm No Returns Policy  Applicable sales tax will be included on the invoice.  Pricing is contingent on purchase of all items and quantities quoted. 3.3 Period of Performance The initial period of performance is stated in the one year from contract award. 3.4 Travel Travel is not expected for this task. 3.5 Task Assumptions ITS has the following assumptions in regard to the Fort Collins tasks.  ITS may require assistance from Client administrative and technical teams at various times.  Fort Collins personnel will make themselves available in a timely manner to ITS.  ITS will have access to Fort Collins management when necessary to solve issues that may arise.  Fort Collins understands that any delays on the behalf of Fort Collins in providing information or if information is inaccurate can directly impact resolution of issues.  All information exchanged with and from Fort Collins will be in English only. The RFP requested two different sets of parts – New licenses and Renewal of existing licenses. That part is probably clear. The ITS response includes 2 complete lists of all the parts: a set with 2015 price (though yearend) and a set with 2016 prices. Because the RFP terms require pricing good for X days, this was our approach to show the current pricing through 12/31/2015 for comparison as well as the available pricing for 2016 should you need to go past the renewal date. IBM determines the pricing and they only offer the current price through calendar year end. On Jan 1 IBM will apply a price increase in the approximate range of 5%. The second set of prices reflects this new price just in case you need it.
