PROPOSAL SUBMITTAL BY SINE GROUP PTY LTD FOR RFP 8349 LOBBY VISITOR MANAGEMENT SOLUTION iii. PROPOSAL SUBMITTAL B. Minimum Requirements SINE GROUP has fulfilled each of the minimum requirements as listed in the proposal. See product Requirements spreadsheet in Excel format. C. Scope of Proposal 2.a.i Software - Support and maintenance Sine offers support via online chat, phone and email support. For Enterprise customers, an SLA can be provided. All updates are provided to customers automatically or via app updates. 2.a.ii Software - Licensing Our software subscriptions are monthly or annual (12 months) and based on the average daily attendance on site. We offer Small (0-25 visitors), Medium (25-50 visitors), Enterprise (50-100 visitors) plans and Unlimited (Over 100 visitors). 2.b Integration method Client to provide further information as to their requirements. 2.c.i Hardware Sine deploys a SaaS model. The Sine Dashboard is available on any web browser (Google Chrome recommended) and is hosted on AWS servers. SinePoint Pro is available via the App Store on iPad. Sine Pro is available on iPhone and Android via the App stores. 2.c.ii Provide spec sheets, drawings, and/or links to a website with details of the available stands. We can provide a number of stands and casings, including secure table stands, wall mounts, hand cradles. Provide a detailed narrative of the services proposed if awarded the contract per the Scope of Services section above. The narrative should include any options that may be beneficial for Utilities to consider. Sine is quick to implement and easy to maintain. We will work with the City throughout the onboarding process to ensure the account is setup and implemented in a timely manner. 4. Describe how the project would be managed and who would have primary responsibility for its timely and professional completion. Include a description regarding the methods and assumptions used. Most of our hardware are apple products that come under the apple product warranty. 7. Is your product scalable? Are there any limitations to the number of kiosks or number of records stored? Cloud based system deployed on AWS with a highly available and scalable architecture. 8.How often are new versions of your product released? What is the current version? As a SaaS product we are continually improving our software, our release cycle is every 2 weeks. App updates are done through the app store but the web dashboard is simultaneous. 9. Is your product customizable? Describe what can be customized. With Sine, you can customise up to five visitor types. You can customise sign in form questions to your liking, based on visitor types. Logos, backgrounds and welcome messages can also be customised. 10. What internal support will the City need during and after implementation? Sine is quick to implement and easy to maintain. We will work with the City throughout the onboarding process to ensure the account is setup and implemented in a timely manner. Provided your internet connection is stable, we rarely experience any downtime. There have been 2 server outages in our 2 years of operation, and these were resolved within 24 hours. F. Sustainability/TBL Methodology In no more than two (2) pages please describe how your organization strives to be sustainable in the use of materials, equipment, vehicles, fuel, recycling, office practices, etc. Address how your firm incorporates Triple Bottom Line (TBL) into the workplace, see below in Section IV: Review and Assessment for additional information. As the company operates mainly via the web, our carbon footprint has been capped to a minimum. We operate a paperless office. Australian council provides recycle bins and we pay for additional recycle bin to be able to recycle packaging material. G. Cost and Work Hours Contractors will include all related travel and expenses within the bid pricing. 1. Identify the price for additional kiosks, should the City decide to implement your solution at other facilities. Schedule of Rates: Provide a schedule of billing rates by category of employee and job title to be used during the term of the Agreement. This fee schedule will be firm for at least one (1) year from the date of the Agreement. The fee schedule will be used as a basis for determining fees should additional services be necessary. A fee schedule for sub-consultants, if used, including mark-up if applicable shall be included. This can be provided upon further stages of the proposal. 7. Data Security Customer data is stored in separate access-controlled databases per application. Customers with multiple applications are assigned separate databases per application to mitigate the risk of unauthorized access between applications. Sine Architecture Overview Connections All connections are made with HTTPS and SSL. Passwords All passwords are hashed and salted. You can only reset a password, not retrieve it. Additionally, all parties are notified when the email address for a user has been changed. Payments We do not store your credit card information in any database, you directly communicate with PayPal (PCI compliant) or via invoice. Administrator Access Sine Administrator accounts are private, password-protected accounts only accessible by the chosen administrator. Your visitor data is securely held in the cloud and is your private data. We also utilise SSL and encrypt all data transmitted between devices and our server. Sine Security Whitepaper 8 Access to Customer Data Sine staff do not access or interact with customer data or applications as part of normal operations. There may be cases where Sine is requested to interact with customer data or applications at the request of the customer for support purposes or where required by law. Sine may also inspect customer data to debug and troubleshoot platform issues. Staff Access We have a strict policy that Sine staff only access our customer's data when absolutely necessary to ensure account functionality.
