The company is a professional bartending and event planning service. The experienced, TIPS certified (Training for Intervention Procedures, Attachment 1), and insured bartenders serve liquor and manage events safely for businesses, corporations, organizations, and individuals. Sapphire Events LLC has been the exclusive concessionaire to the Lincoln Center since July of 2011 and to the Fort Collins Museum of Discovery since July of 2015. The Sapphire Events team is excited to continue providing exceptional, efficient service with quality products to compliment both the Lincoln Center and the Fort Collins Museum of Discovery. 1. EXPERIENCE Connie Matsuda is the owner of Sapphire Events. She has operated a successful catering/event coordinating business for 20 years. Custom Cakes & Catering started in 1985 as a full service off-site caterer and in 1993 registered a DBA 19 th Green, Inc. as the concession and beverage service at the Mountain Vista Golf Course. 19 th Green operated successfully for 11 years. When the golf course sold in 2004 the 19 th Green was purchased by the new owners. The catering business continued until 2005. Custom Cakes and Catering was then closed and Connie continued with the event planning. She was then needed to help care for her father with Parkinson’s disease and her mother with cancer. After her father’s passing it was possible to work again and Connie was anxious to get back into business. Sapphire Events was then started in 2010 and with help from her daughter Jaclyn and son-in-law Chris, they started taking jobs for bartending services and event planning. Connie currently operates Windsong Estate Event Center located at 2901 Saddler Boulevard, Fort Collins, CO. 80524. Until November of 2013, Connie was more of a hands on manager with Sapphire Events at the Lincoln Center. Her role with Sapphire Events is now centered around the accounting aspect of the business and less with the everyday operations of management. Her son-in- law, Chris Davison is in charge of the everyday operations of Sapphire Events at the Lincoln Center and her son, Shawn Matsuda, is in charge of the operations at the Fort Collins Museum of Discovery. Chris Davison has been the primary manager of Sapphire Events at the Lincoln Center since 2013. Chris has been a resident of Fort Collins for 20 years and is Exhibit A 2 38 years old. He originally attended Colorado State University for Hotel and Resort Management. While in school at this time, he was a bartender at a local restaurant as well as cook. He was responsible for ordering product and scheduling kitchen staff. He later attended Colorado College of Real Estate and procured his license to practice residential real estate. Chris re-enrolled at CSU where he received his bachelor’s degree in Health and Exercise Science with a concentration in Sports Medicine in December, 2010. Chris is TIPS certified. Chris is also the manager of record on the Liquor License that is currently held at the Lincoln Center. Shawn Matsuda is the manager for the Liquor License at the Fort Collins Museum of Discovery. Shawn is TIPS certified. He attended the University of Colorado in Colorado Springs in Golf Management where he took courses on restaurant and bar management. He also interned at Trump National Golf Course in Los Angeles, CA. and experienced all the management aspects of the golf course. Shawn also was the PGA Professional at Dick Sporting Goods in Thornton, Colorado. He has worked 3 years for both Sapphire Events and Windsong Estate managing, bartending and record keeping at the family businesses. Sapphire Events will continue to staff 3 managers of which there will always be at least one manager on duty at all scheduled events. In the case of multiple events, we will staff multiple managers accordingly. Sapphire currently staffs 15 part-time employees. If our bid is accepted, we will continue to staff bartenders based upon prior experience, a good attitude, and ability to provide friendly customer service. Each hired bartender is required to complete the TIPS certified course prior to serving any alcoholic beverages. Also, each bartender will continue to be instructed on how to properly and professionally serve each guest, in order to provide consistent conformity throughout the serving process. Sapphire Events has hired a diverse group of competent employees to represent the company, the Lincoln Center, the Fort Collins Museum of Discovery and the Fort Collins community as a whole. Over the past five years, we have learned the most efficient and effective ways in which to staff all bars. We know the history of certain recurring shows and the demand that will be placed on the bars for those shows. We have discussed with Jack Rogers, the General Manager of the Lincoln Center, this demand and have come to a general consensus that if the Performance Hall (1,180 total capacity) is sold out and there is an intermission for the show, that both the Main Lobby bar will be opened as well as the Balcony Lobby bar (rooftop) for average drinking crowds. If there is a heavy drinking crowd and an intermission in the Performance Hall, then we will open all 3 permanent bars; Main Lobby bar, Balcony Lobby bar and the Magnolia Lobby bar. The one exception to opening multiple bars for a sold out show and an intermission in the Performance Hall is for Opera and Symphony shows. These crowds do not place much demand on Exhibit A 3 the bars and have an average per person sale of $0.80, whereas the large drinking crowds with intermissions can have an average per person sale of up to $5.00. Examples of heavy drinking crowds include comedians and rock music concerts. Examples of average drinking crowds include Broadway style shows, Matinee’s and shows that are family oriented. Staffing for private events (weddings, business meetings, holiday parties, anniversaries) has worked with 1 bartender and 1 manager for up to 100 guests, 2 bartenders and 1 manager for 150-200 guests and 3 bartenders and 1 manager for anything above 200 guests. Between Connie, Chris and Shawn, we feel as a company that we have provided outstanding customer service over the past five years to the general public, weddings, private events, in house Lincoln Center events and corporate functions. Edward Modec, the Lincoln Center Conference Services Manager, provided us with all records of Customer Satisfaction Surveys that the Lincoln Center has had on file since 2012 (Attachment 2). This is a very small sample of customer surveys, as many guests do not fill one out. However, we feel that this is a good representation of the high quality service that we provide. As you can also see (we did not want to leave any out), there are a few customers that were not happy. Working in the customer service industry, it is impossible to satisfy every customer. We do our very best at recognizing un-happy customers and do what we can (either providing a financial discount or changing service needs) to make their event successful and worry free. There was one unsatisfactory marked from Wolf Robotics that did not mention the cause of their dissatisfaction. The lady who was in charge of organizing this event for Wolf Robotics had brought in her own liquor that they were drinking out of a flask. Due to the strict Colorado Liquor Laws, we told her we had to confiscate the alcohol which she was not pleased with at all. We apologized to her and let her know that we have to follow the laws. We dumped what alcohol was in the flask and returned the flask back to her. We would love the opportunity to continue working with the City of Fort Collins, the Lincoln Center and the Fort Collins Museum of Discovery. 2. FINANCIAL – *This section and all attachments are Proprietary* Sapphire Events has had a business checking account since July of 2011 with First National Bank. We have attached the latest business checking statement to show that the account is in good standing. We would be more than happy to supply previous months or years statements if requested (Attachment 3). The business currently has no debt and all transactions needed to operate the business come out of the business checking account. We have also attached the 2015 Income Statement (Attachment 4) for you to see that Sapphire Events is operating in the black and the business has made a small profit. If you would like previous years bank statements and/or Income Statements, we would be more than happy to provide those at the City’s request. Also, the Fort Collins Museum of Discovery has not shown a profit in the 10 months since Sapphire Exhibit A 4 Events has been operating the bar service, this is the reason we are offering zero percent (0%) on Exhibit B. 3. PRODUCTS Sapphire Events believes that the Lincoln Center should offer reasonable and professional selection of drink choices to paying patrons. The increased attention to bar detail and upgraded, professional service has reflected on the time, energy and money that has gone into making the Lincoln Center a modern and sophisticated Performing Arts Center in Northern Colorado. For the past 5 years, we have used a pre-order drink system that has become very popular with our “Regulars” and all crowds in general. This “VIP” service (available to all customers) has been instrumental in taking pressure off of lines at intermission as well as providing a valuable service to guests. We run competitions between bartenders to see who can get the most pre-order drinks sales at the busier drinking shows, it has become a fun tradition! A complete list of our performance/show product inventory as well as prices can be found on Attachment 5. A brochure/pamphlet with services offered, attire options for staff, as well as beverage prices and choices for clients interested in private events has been attached (Attachment 6). The Lincoln Center Events Coordinators have this form on file and they give potential clients a copy and how to reach out to us. 4A. OTHER INFORMATION Have you ever held or do you currently hold any financial interest, direct or indirect, in any retail liquor establishment, distillery, importing or wholesale liquor license? Yes. Connie Matsuda held an Optional Premises License issued by Larimer County at the Mountain Vista Greens Golf Course from 1993 to 2004. Connie currently holds a Tavern Liquor License with Weld County at Windsong Event Center. Do you plan to be an active participant in the management and operation of the concession? Yes (Attachments in this section are Proprietary). Connie Matsuda will be responsible for bookkeeping with help from her husband Kenji Matsuda who holds a degree in accounting from Colorado State University. Chris Davison will be the everyday hands-on manager of Sapphire Events at the Lincoln Center. His duties will include managing bartenders during events, assisting in bartending if needed for busy shows, scheduling, product ordering, inventory, receiving deliveries of products to the Lincoln Center, composing event sales Exhibit A 5 reports for the Lincoln Center, meeting with private event clients to discuss their needs for bar service, composing Estimate of Services forms for clients (example, Attachment 7), and invoicing clients (example, Attachment 8). Shawn Matsuda will be the everyday hands-on manager of Sapphire Events at the Fort Collins Museum of Discovery. His duties will be identical to Chris Davison’s. 4B. UPGRADING POINT-OF-SALE SYSTEMS If re-awarded the bid for both venues, Sapphire Events will be upgrading all of the point of sale systems at all bars. We would like to add an additional two credit card terminals at the Main Lobby Bar at the Lincoln Center (currently we only have one). Because the Main Lobby Bar only has one CAT-5 connection to hook up one credit card, we would ask if the Lincoln Center would be willing to let Sapphire Events use a secure Wi-Fi connection to connect more credit card terminals. If this is not a possibility, we will look into splitting the current CAT-5 cable. Adding additional credit card terminals will assist in making lines move more smoothly. The additional cost of upgrading all point of sale systems will be between $3,000.00 to $4,000.00 per year. This is one of the reasons for our proposal in Exhibit B. 4C. EXPLAINATION OF EXHIBIT B PROPOSAL A few points on the reasoning of our proposed percentage of rent in Exhibit B. When Sapphire Events first bid on the contract with the Lincoln Center, the RFP indicated an estimated $250,000.00 in gross sales. The current general manager at that time, Ty Sutton, verbally indicated he thought it would be closer to the $300,000.00 range. Keeping these numbers in mind, we had decided that we would offer the current 14% to the Lincoln Center. When making our calculation for the 14%, we estimated all labor costs, taxes, rent, inventory and overhead and proposed the highest percent rent that would make the company the minimum amount of money and not go in the red. The gross sales have been a bit lower than originally anticipated and been around the $200,000.00 range. With gross sales being lower and because Sapphire Events would like to upgrade to more efficient and quicker point of sale systems, we have offered the new percentage in Exhibit B. 4D. CHANGES TO SCOPE OF SERVICES If Sapphire Events is awarded the bid to continue running the concessions at the Lincoln Center and the Fort Collins Museum of Discovery, we would like to discuss a few operational changes with-in the Scope of Services. Exhibit A 6 4E. REASONS FOR RENEWING CONTRACT WITH SAPPHIRE EVENTS Sapphire Events has worked closely with The Lincoln Center for five years and The Fort Collins Museum of Discovery for ten months. Over this time, we have developed a lot of great relationships with The Lincoln Center Staff and would love the opportunity to strengthen those even more. Sapphire Events has successfully operated the Liquor License for five years at The Lincoln Center and in that time we have never received either a warning or citation for Liquor License violations. We have learned about Liquor Laws diligently and take them very seriously. If the City awards another company this bid, you will be eliminating 15 jobs. Sapphire Events is all set with the proper paperwork and payments to re-new the liquor license at the Lincoln Center and the Fort Collins Museum of Discovery. The expiration date to re-new the license at the Lincoln Center is June 16 th and May 30 th for the Fort Collins Museum of Discovery. It could possibly take up to 3 months for a new company to go through the entire application and approval process of applying for a new liquor license. We care about doing the best job we can, we report to the Lincoln Center and the Fort Collins Museum of Discovery accurately, and we are honest and up front about all aspects of running our business. 5. TIPS (Training for Intervention ProcedureS) is a dynamic, skills-based training program designed to prevent intoxication, drunk driving and underage drinking by enhancing the fundamental "people skills" of servers, sellers and consumers of alcohol. TIPS gives individuals the knowledge and confidence they need to recognize potential alcohol- related problems and intervene to prevent alcohol-related tragedies. TIPS training sessions vary in length from two to five hours. Eight customized versions of the program address concerns specific to the environment. TIPS sessions can be administered through a certified TIPS Trainer or through eTIPS, an online training program. Training conducted by a trainer is implemented through video and printed materials to facilitate discussion of the course content. Course material is presented in three sections: Information, Skills Training and Practice/Rehearsal. Training conducted through eTIPS is implemented through a computer and served over the web. eTIPS Training is self- paced and can be administered at anytime. At the end of either type session, participants complete a multiple-choice exam. Participants who pass the exam receive a certification card, valid for three years in most areas. Exams, grades and other relevant information are maintained online for review. Program Duration: 3 hours Target Audience: restaurants, bars, nightclubs, resorts, hotels and other establishments where alcohol is consumed on the premises. Attachment 1 2 The Challenges: Restaurants and bars are great places for people to socialize and have a good time. Unfortunately, that good time sometimes gets out of hand. Servers must be able to deal with these problem behaviors and the challenges associated with underage drinking and drunk driving. Establishments know they need their staff trained, but can't find the time or location to train them. FAQ’s  Do you check I.D.’s? Yes. As servers of alcohol we must make certain that the people we are serving are of legal age. How many are men, how many are women and how many are underage. How many are non-drinkers, beer drinkers, wine drinkers, or cocktail drinkers. This will help you determine the number of guests that will be drinking and what they will be drinking.
