8019 CITY ATTORNEY'S OFFICE FURNITURE
The City of Fort Collins is requesting proposals from qualified firms for new furniture at
the City Attorney’s office.
Proposals submission via email is preferred. Proposals shall be submitted in
Microsoft Word or PDF format and e-mailed to: purchasing@fcgov.com. If
electing to submit hard copy proposals instead, five (5) copies, will be received at the
City of Fort Collins' Purchasing Division, 215 North Mason St., 2nd floor, Fort Collins,
Colorado 80524. Proposals will be received before 3:00 p.m. (our clock),
November 7, 2014 and referenced as Proposal No. 8019. If delivered, they are to be

address is P.O. Box 580, Fort Collins, 80522-0580.
The City encourages all disadvantaged business enterprises to submit proposals in
response to all requests for proposals and will not be discriminated against on the
grounds of race, color, national origin for all proposals for negotiated agreements.
A pre-proposal site walk will be held on October 22, 2014 at 2:00 PM at the City
Attorney’s Office located at 300 Laporte Ave, Garden Level, Fort Collins.

All questions must be submitted in writing via email to Jennifer Harvey, with a
copy to Doug Clapp, no later than 5:00 PM (our clock) on October 30, 2014.
Questions received after the deadline will not be answered.
A copy of the Proposal may be obtained from www.rockymountainbidsystem.com.
The City of Fort Collins is subject to public information laws, which permit access to
most records and documents. Proprietary information in your response must be clearly
identified and will be protected to the extent legally permissible. Proposals may not be
marked ‘Proprietary’ in their entirety. Information considered proprietary is limited to
material treated as confidential in the normal conduct of business, trade secrets,
discount information, and individual product or service pricing. Summary price
information may not be designated as proprietary as such information may be carried

forward into other public documents. All provisions of any contract resulting from this
request for proposal will be public information.
Sales Prohibited/Conflict of Interest: No officer, employee, or member of City Council,
shall have a financial interest in the sale to the City of any real or personal property,
equipment, material, supplies or services where such officer or employee exercises
directly or indirectly any decision-making authority concerning such sale or any
supervisory authority over the services to be rendered. This rule also applies to
subcontracts with the City. Soliciting or accepting any gift, gratuity favor, entertainment,
kickback or any items of monetary value from any person who has or is seeking to do
business with the City of Fort Collins is prohibited.
Collusive or sham proposals: Any proposal deemed to be collusive or a sham proposal
will be rejected and reported to authorities as such. Your authorized signature of this
proposal assures that such proposal is genuine and is not a collusive or sham proposal.
The City of Fort Collins reserves the right to reject any and all proposals and to waive
any irregularities or informalities.

SCOPE OF WORK
The City of Fort Collins is requesting proposals for new furniture at the City Attorney’s
office. Attached is a floor plan of the space. The furniture should complement the
professional atmosphere and work environment of the City Attorney’s office..
Project location:
City Hall West: City Attorney
300 LaPorte Avenue, Garden Level
Fort Collins, CO 80521
The selected vendor will work with the owner to determine final finishes, procurement of
the product, installation, and removal of existing furniture (If needed – existing will be
returned to the City warehouse). Scope will include:
1. New furniture for a 212 square foot office that is approximately 11’-5” x 18’-5”.
Space 114.
2. Relocate furniture from space 114 to space 104 and reconfigure as needed.
3. Add a 2 person seating areas at the hallway corner of spaces 114 & 113.
4. Add low storage that could double as seating outside of spaces 119, 112, & 111.
SPECIFICATIONS
Furniture must match the quality and design of the existing office space. There are
several furniture systems throughout the space; however the most recent has been
Steelcase EE6.
All furniture will have a wood veneer finish in a stain selected by the owner. Material and
fabric samples will needed to be provided at the time that the purchase order is issued.
All furniture must be highly durable, ergonomic and meet BIFMA standards.
Work surface must meet or exceed 1 1/8” solid core high density particle with a high
pressure applied veneer surface.
Catalogs and price lists must be provided with the bid for all furniture pieces proposed.
Show the list price and the applicable discounts to be offered including local or state
contacts. List out which contract you are using for pricing and your registration number
for that contract.
Note if products are Greenguard or carries an alternative 3

party sustainability
certification.

Listed below are the minimum requirements. If you have other options or furniture
pieces to propose that will make the space more functional, we would be interested in
seeing them.
Desk requirements:
• Desk to be freestanding.
• U Shaped with two lateral files and a box box file BBF. Storage to be lockable.
• Return work surface to be either a keyhole or p shape.
• List a modesty panel as an option.
• Overhead storage, if configuration allows. (An allowance will be made to attach
overheads to the wall.)
• Highly ergonomic chair - Equivalent to RFM Preferred Seating -Wink 380 with
adjustable seat depth, back, and arms at a minimum. Fabric to be priced as a
Momentum Grade D or equivalent.
Guest seating:
• Small round table.
• 4 Guest Chairs – chairs must include a fabric that is a minimum of 75k double
rub.
Additional furniture:
• Optional 4 -5 shelf bookcase.
COMMON SPACE
2 side chairs.
1 side table.
*3 – 6’ long benches that include storage underneath that is accessible from the front.
List weight capacity with your submittal.
*6 - 3’ long storage cabinets that are 48” high.
*For the common area we will be selecting the benches, the storage cabinets, or a
combination of the two. We are looking to maximize the useable space in this area.
PROCESS
In order to submit a proposal on this project, it is recommended each firm attend the
pre-bid site walk on October 22 at 2 pm so that you can see the space and the existing
furniture. A cad file of the space will be available after the site walk.
Your proposal will need to include:

• Reconfiguration of the existing.
• Pricing and Installation.
• Material specifications.
• Product cut sheets.
• Lead time.
• Warranty info.
If you are submitting a furniture line that the City of Fort Collins has not utilized before,
you will be asked to provide project references that have used the proposed system.
In the event it becomes necessary to revise any part of the “Request for Proposal” a
written addendum will be issued. Each Proposal shall state that it is valid for a period of
not less than ninety (90) days from date of proposal opening. Further, the City of
Fort Collins retains the right to reject all proposals and re-solicit, if deemed to be in the
best interest of the city.
Written proposals will be graded based on the following criteria from a selection team:
Quality, Cost, Delivery, and Appearance. If there is no clear winner, then interviews will
be scheduled the week of Nov. 17th.
