Q: Our firm is under contract with our buying group not to share costs with customers, other suppliers, etc. A fine of $25,000 could be imposed if we are found sharing costs. If our costs are not provided will it be an issue? A: For proposals submitted, pricing accounts for 20% of the assessment criteria stipulated in the Review and Assessment section of the RFP and therefore, “Final Delivered Cost” of each item must be provided, at a minimum. However, the City will allow firms to omit “Manufacturer Cost” and “Percent Markup” from the Pricing Schedule. Again, all proposals must include as a minimum “Final Delivered Cost” for each item to be consider responsive. Please note: In the event firms elect to omit “Manufacturer Cost” and “Percent Markup”, the City reserves the right to negotiate and review supporting documents from the awarded Service Provider in the event of future proposed price increases. 2. Q: Can columns be added to the pricing schedule to show Regular Retail as well as the Discounted Retail? A: We ask that firms maintain the format and columns provided on the Pricing Schedule to ensure consistency. 3. Q: Do suppliers outside of the Fort Collins area have access to this proposal? Are there any limits to who/what businesses can submit a proposal? A: Yes- RMEPS is a national database. All proposals submitted on-time are accepted. If required documents are missing, the City may, at our option, seek information from a Proposer to clarify their proposal. 4. Q: On the Pricing Schedule Talls have different style #'s than the lines above. Do these style #'s correlate with Carhartt, another brand of FR Products, etc? A: The numbers listed are for Carhartt products, however style #’s do change occasionally. If different numbers have been assigned to the Tall items, please include the updated style #’s in the proposal. 5. Q: Are employees allowed to order any colors made in the styles listed on the pricing schedule? If so, how will they indicate the selected color on the order form? Are there default colors you would prefer to be ordered if no color is indicated? A: We haven’t confirmed the colors at this time; however the employees will probably be given an option of navy blue or gray. Future order forms will be updated to include color selection. 6. Q: Certain styles listed on the pricing schedule are not made in all sizes listed in the size column. For example, FRB100 from Carhartt is made in waist sizes 30 though 54. Should I include a graph of current sizes made by Carhartt on my proposal? A: The Pricing Schedule is meant as a template for planned items. A matrix of the current sizes offered by Carhartt, etc., correlating to the proposed items, would be permissible.
