Description of BID 8177: Procure-to-Pay Workflow Process Assessment
OPENING DATE: 3:00 PM (Our Clock) October 19, 2015
To all prospective bidders under the specifications and contract documents described above,
the following changes/additions are hereby made and detailed in the following sections of this
addendum:
1. The Opening Date shown on the first page of the RFP document is incorrect. The
Opening Date is October 19, 2015 at 3:00 PM (our clock).

EXHIBIT 1 – QUESTIONS & ANSWERS
1) What amount of bandwidth is available from your team to take part in the
assessment? Outside of the 20 to 30 one-on-one interviews, will the group be available as
a whole or by department? For example, time available from Business process owners to
meet with the Assessment team?
The core project team commits to high availability and accessibility during
the fieldwork portion. In addition, we expect City interviewees from outside
of the project team to be available for follow-up questions and/or
documentation requests that come up throughout the interviews. The
preference is to include the Project Lead on requests to the extent that they
are outside the interview process.
2) The listed time for this assessment is in the covers two main weeks of holidays. Will the
resources be available during this time period?
Because of overlap with two holidays, we do prefer that fieldwork and
interviews be scheduled outside of the weeks of Thanksgiving and
Christmas. While the City cannot guarantee the availability of all 20-30
interviewees during those two weeks, core project personnel will be
available by phone and email during the week of Thanksgiving.
3) Will there be a project lead or PM on the Cities side to coordinate the participation of the
team? If so what level of participation will that resource have for this project?
Travis Storin, Accounting Director, will serve in a Project Lead role and
help to coordinate participation of various City employees. Travis will be
available for same-day access during the fieldwork phase of this project.
4) Who is the executive sponsor of this assessment?
The executive sponsor of this project is Mike Beckstead, City CFO
5) If a firm is selected by the City to complete the assessment project, is the firm
locked-out of participating on the implementation project?
The firm selected to perform the assessment will not be precluded from
bidding on the implementation project.
6) What is the last day to submit questions?
The deadline for submitting questions is October 12, 2015 at 5:00 pm our
clock.
