Please see my details below and let me know how you would like for me to handle them. I’ve been informed that any work orders with over $5000 remaining (or encumbered) will need to be closed out with a negative change order, however, I’m not sure if that applies to projects with the construction contract closed out, and/or if it applies to projects dating back to 2018. Please advise. 1. Water Meter Replacement, 5026422001. This project was completed in March 2019. a. Encumbered Funds: $24,732.72 (PO 9185138 to Ditesco) b. Encumbered Funds: $28,271.84 (PO 9185177 to Hydro) 2. Sherwood Street Water Main Replacement, 5020100006. This project was completed in August 2019. Final Acceptance was issued in December 2019. Retainage was released in April 2020 – so the contract is closed out for the contractor on this project a. Encumbered Funds: $8,577.82 (PO 9190730 to Connell Resources) b. Encumbered Funds: $9,039.70 (PO 9190300 to Ditesco) c. Encumbered Funds: $1,071.72 (PO 9190861 to Capstone) 3. Hickory Street Water Main Replacement, 5020100008. This project was completed in November 2019. Final Acceptance was issued in December 2019. Retainage was released in April 2020. There was a negative CO done for the contractor (BT), and the construction contract is closed out. a. Encumbered Funds: $1,726.04 (PO 9191003 to Capstone) b.
