Council Tree Library AV System Upgrade
Proposal Outline:
This proposal contains the necessary equipment, materials, labor, and agreements between Equalized Productions, LLC and Poudre
Valley Library District / Council Tree.
Design Concept:
Operational simplicity is the key factor for this system. We have designed an activity based simple flow HD 1080p HDMI video
system synchronized to a preset-driven, auto mixing audio system.
The goal for all system operators is to simply press one button from a two-button control panel that will turn on the video system
and off.
Video extraction from the source input panel is simple with HDMI and VGA audio feeds coming from the new connection panel from
the front of the room. This connection panel (the Wyrestorm TX-SW) will allow presenters to plug in an HDMI cable and / or VGA
cable which will be auto-switched when using only the HDMI or the VGA separately. The video and audio will automatically
synchronize, display on the screen, and pipe through the sound system by simply pressing one button to power on the projection
system, and plugging their source into the wall panel.
The projectors shall provide a strong light source to produce a vivid picture with the bright ambient lighting within the rooms.
Therefore, these units produce 6,500 lumens as 16:9 aspect ratio to fit the existing screens which will raise and lower when the
presenter turns the system on or off. The proper lenses have been chosen based on the location and distance of the existing
projectors to reduce expenses by not having to move the existing projection mounts, power connections, and wireways.
The audio system will have basic controls designed to simply work on demand. However, some basic control will be provided to
fine-tune audio levels as presenters or guests desire. This system will also have two presets allowing the audio from the video in
each room to forward over to the other room with (or without) the video following. This independent feature allows each room
some additional control as needed.
The Symetrix system shall contain feedback suppression filters for the microphones, digital auto leveling, compression and limiting
to set maximum levels and ensure optimal speaker protection, and room shaping EQs to fine tune audio quality around the
acoustical environment.
The existing speakers and amplifier shall be re-used based on initial assessment without full inspection.
Lastly, the wireless mics are designed to be pre-pared between the microphone and receiver, so presenters cannot accidently (or
intentionally) un-pair the microphones. The microphone will always be pared allowing the presenter to only turn on, off, or mute
the microphone from the actual microphone.
Scope of Work:
1. Remove existing sound and video system components and racks that will not be reused
2. Clean, inspect all equipment in rack to be reused
3. Install all audio and video components per attached estimate #1214 in existing rack
4. Connect existing hearing loop to new Symetrix unit
5. Program processor, audio interface, and peripheral equipment
6. Testing and tuning and commissioning
7. Two-year installation warranty
8. Training
Deliverables from Equalized Productions (some listed above):
1. Commissioning
a. Test and verify entire system to ensure system is fully working
b. Assurance checklist with customer before training
2. 2-year installation warranty
3. 2x System training courses to be coordinated with district and school staff
a. In-depth thorough system training for daily system users
b. Basic use training for facilities staff
4. O&M documentation of new system configuration, equipment, and serial numbers
Inclusions: (Equalized Provides):
5. All equipment in association with attached equipment lists
6. Ladders for component installation as needed
7. All cabling, connectors, and installation accessories associated with the attached equipment lists
8. All labor associated with this installation
9. Possible use of sub-contractors and independent contractors if needed at our discretion
10. Coordination with other trades and contractors as needed
11. All tools needed to conduct the installation
12. General Liability insurance & Workmen’s Comp
13. Testing and inspection of any equipment to be reused
14. Training and two-year installation warranty
Exclusions: (Equalized does NOT Provide):
1. Structural, electrical, or architectural engineering reports or certifications
2. Any touchup or modifications to sheetrock or painting necessary pre-or post-installation
3. Any Sheetrock repairs due to construction defects or damaged wire and cabling
4. Any other wiring modifications or wiring additions not specified herein unless complimented by an approved change order
agreement between Equalized Productions, LLC and you (the customer)
5. Any equipment location additions or modifications and / or other packages unless complemented by an approved CCD (cost
change directive) or Change order
6. Any additional equipment, furniture, or materials not listed in this proposal
7. Support for equipment or system peripherals provided by the customer
8. Associated cooling systems unless specifically outlined in this proposal
9. Cable or satellite TV services, activations, modifications, or cable boxes
10. Internet services, activations, modifications, switches, QoS, additional PoEs, or modems
11. Warranty or liability for any customer provided equipment
12. Local permits
13. Local taxes
14. Bonding (unless otherwise negotiated per any requirements – additional costs may apply)
15. Additional travel expenses incurred due to scheduling conflicts, delays, or changes
Customer Provides:
1. All existing equipment and wiring that will be reused
2. Full access to facility during time of demolitions and installations
3. Access to nearby restrooms during installation
4. Copy of tax-exempt certificate

Payment Structure:
The payment structure for the installation will be as follows based on provided schedule of values demonstrating progress made
(Not reflecting any extra options or changes):
1. 50% due upon acceptance of proposal $ 6,683.10
2. Remaining balance due upon completion $ 6,683.10

Warranty Details and Disclaimer:
All installation design and concepts are represented on this proposal and are exclusive property of Equalized Productions, LLC.
Please feel free to contact us with any questions regarding this proposal at any time by calling 720-639-6571. Warranty terms are
limited to the installation of wiring and connections made by Equalized Productions, LLC. All equipment warranties will remain
through the standard manufacturer’s warranties provided with the equipment.
Equalized Productions, LLC reserves the right at any time to terminate any active warranty without any cause or notice. Also, any
warranty provided by Equalized Productions, LLC will be immediately terminated if evidence of miss-use, wiring modifications were
made by you (the customer), or any company other than Equalized Productions, LLC was hired to service your system without the
written consent or approval from Equalized Productions, LLC. Equalized Productions, LLC reserves the right to terminate a warranty
and charge time and materials for repairs that were caused by the neglected warranty terms listed herein. Failure to obtain prior
written approval by a member of the Equalized Productions, LLC team when using a different provider for service or repairs
pertaining to your system provided and installed by Equalized Productions, LLC may also result in immediate termination of your
warranty.
Customer Provided Equipment Disclaimer:
Equalized Productions, LLC does not support, warrant, or guarantee installation of any customer provided equipment. Any customer
provided equipment must be approved by Equalized Productions, LLC within this proposal and you (the customer). You will also
agree in writing to indemnify Equalized Productions, LLC and hold harmless from all potential and /or unforeseen liability or
undesirable results with the completed and finished product.

Equalized Productions, LLC will gladly accept checks or certified fund and does not accept cash or credit cards. A $35.00 fee will be
applied for returned checks plus any equipment holding fees due to scheduling conflicts (10% of equipment value in storage per
month equipment is stored). Equipment will not be delivered until the initial payment has been processed. Final payment will be
immediately due upon completion of training and the installation unless special arrangements have been made in writing between
you (the customer) and Equalized Productions, LLC
