SPECIFICATIONS AND CONTRACT DOCUMENTS
Description of BID 8026: Furniture for New Utilities Adminstration Building
OPENING DATE: 3:00 PM (Our Clock) December 12, 2014
To all prospective bidders under the specifications and contract documents described above,
the following changes/additions are hereby made and detailed in the following sections of this
addendum:

RFP 8026 FURNITURE FOR NEW UTILITY ADMINISTRATION BUILDING
GENERAL CLARIFICATION
This is a request for proposal, not a bid. We are looking for your proposal of furniture
that will best fit our needs. It is assumed that everyone will come up with different
solutions using different products. We will be looking at the proposals first from a
design and product viewpoint first, and then we will be reviewing pricing. We understand
that there will be difference in price if different materials are proposed (ie. Laminate vs
metal). The pricing worksheet is intended to give us a baseline to start working with if
your proposal is selected.
TYPICALS
1. Do the typical layouts reflect what you actually want to see or is there room for creativity
and flexibility?
a. We absolutely want to see creativity and flexibility in your proposal. We are
looking for the best solution for our space and our needs.
b. The typical layouts are intended to be used for the pricing worksheet so that the
team can have a frame of reference for reviewing pricing.
2. Should total price be based on the spreadsheet provided?
a. Total price for product should be based on the spreadsheet.
b. Cost for professional services should be included separately
3. In Typical WS-2B, the front, height adjustable surface is requested at 54”w – this only
leaves 2’6” of space for the user to enter the cubicle [between work surface and outer
panel]. Is this sufficient or can we shorten the height adjustable table to 48”w?
a. For pricing purposes, leave the sizes as they are currently listed
PROPOSAL
1. Please clarify if the proposal is to include a price estimate for professional services
described on page 4.
a. Yes, please include a price for the entire package. The professional services
should be listed separately from the product.
2. On page 4 it states that we can submit two solutions of product/pricing. Are we allowed
25 pages for each solution?
a. Yes, 25 pages per solution. Label everything as option A or option B so that
information can be placed with the proper solution.
LAYOUTS
1. Do we need to do layouts each floor?If so how many people need to be in each group?
Does the furniture need to be laid into the plan or is pricing based on typicals? If the
entire floor plan needs to be laid in, will you please provide quantities and groupings of
workstations and job functions to lay in the most effective way? The drawings are not

showing where the WS-1, WS-2, etc should go. Is something missing from the
drawings?
a. At this point it is not required that a layout for each floor be completed. We will be
working out final layouts with the selected firm.
b. The staffing numbers that are used in the current space planning are not identical
to the numbers requested in the RFP, so the space layouts are not shown to
avoid confusion of numbers that should be included in the pricing worksheet.
c. Staff numbers will be adjusted with the selected vendor rather than confuse the
programing during the RFP process. Upon selection a vendor, a time will be
scheduled to go through the full programing of staff to see how groups form.
d. We also do not want to limit people to our “boxes” that were used for determining
programming needs; rather we are looking for creative solutions.
2. If a full layout is included with ideas, should that be included on the pricing sheet?
a. We do want to see your creative ideas as part of the proposal, but the pricing
sheets only needs to include those components that we have asked for.
b. Added components can be shown as optional with a price so that we can see the
whole picture.
3. Are alternate layouts for the workstations allowed? (Based on functional enhancements
to better suit space use or function of the work stations.)
a. Alternative layouts are allowed and encourage; however still provide pricing
based on the components of the typical layout.
ELECTRICAL
1. Will the City be utilizing raised floors and floor boxes for each workstation or is power
going to be needed within the workstations? If power is needed how many receptacles
are needed? Designated power? Is the City looking for any desktop mounted power
options to eliminate the need of plugging items in under the worksurfaces?
a. Currently we are evaluating what will be the best option for the project. Floor
boxes will be preferred if it fits in the project budget.
b. For the proposal purpose, the workstations should not be wired for power.
c. If you choose to include power – show it as an option
STORAGE
1. The storage tower is higher than the surrounding panels. Can this tower be lowered to
meet the panel height?
a. For the pricing worksheet include the pieces that are listed in the typicals so that
prices can be compared among vendors.
b. Final height of the tower and panels will be determined after we select a vendor
and are working on the design. You can propose something else.
2. Can overhead storage be added?
a. Yes, if you think that it would be a good solution for us.
b. Propose it as an option and leave it out of the pricing worksheet since it is
outside of the typicals
3. Is there a preference for laminate or metal storage?

a. Metal would be the preference for durability.
4. What features do you want to see with the storage tower? i.e. wardrobe cabinet, FF or
BBF drawers, open shelves on side access?
a. Wardrobe cabinet
5. All storage items to be locking?
a. Yes
6. For consistency of proposals, Item D on page 12, you have requested low storage
underneath. What type of storage would be desired? Bookcases, storage cabinets,
drawers?
a. Storage Cabinets are preferred.
CHAIRS
1. Is there a spec for what you are looking for with conference or side chairs? Should C2
be broken out into conference chairs and side chairs? Or do you want C2 to be a side
chair that is also used for the conference rooms?
a. We are looking for you to provide solutions in your proposal that you think will
best fit our needs. These can be the same or different chairs.
2. There is a line item referred to as side/conference room chairs. Do you have a
preference if they are metal or wood, arm/armless, casters or no casters?
a. Propose what you think will be best for our needs
LOBBY
1. Do you want ideas for lobby furniture? If so, do you want them priced? Or is it more of a
jumping off point at this point, and we’ll dial into that later once a vendor is selected?
a. Including imaging would be welcome. You do not need to include pricing or
layouts at this time
WORKSURFACE / TABLES
1. You specify that you would like height adjustable tables, what type of base would you
like: electric, crank, counterbalance?
a. Choose the base that will serve us the best for long term use with your product
2. Do you want options for each station to include monitor arms?
a. No.
3. Please clarify specifications on page 14.
a. We are looking for proposals and will not be offering additional specifications
other than what was listed in the RFP document.
4. The tables for T1-5, for bid purchased do you have a preferred shape? Would you like
to see metal or laminate bases?
a. No preferred shape.
b. Metal bases

5. The tables for T6 please clarify specifications, do you want us to quote 40 tables that
seat 2? Maybe a 24” X 60”? Would you like the tables to be on casters, do they need to
fold or nest?
a. You may propose any configuration that will accommodate 80 people.
b. Include glides not casters
c. Yes, these tables should nest
