ADDENDUM NO. 1
SPECIFICATIONS AND CONTRACT DOCUMENTS
Description of BID 8007: Printing and Distribution Services - Catalog
OPENING DATE: 3:00 PM (Our Clock) October 24, 2014
To all prospective bidders under the specifications and contract documents described
above, the following changes/additions are hereby made and detailed in the following
sections of this addendum:

Questions and Answers
1. Can you confirm that the 25,000 or 35,000 will all be of one version?
The 25k/35k would be two versions and the only change would be the cover. So typically
there is about 15k that have a mailing indicia and the remaining are covers without the
indicia. All internal pages will remain the same for the 25k/35k. The City is willing to
consider alternate cover solutions for the indicia as proposed by a vendor.
2. Will the 8 page insert be full size?
The 8 page insert will be the same size as the rest of the publication, just a different
stock. We have typically stapled or bound these into the publication. However, we don’t
do this every time we publish the Recreator; typically the Recreator is printed without an
insert.
3. For the cover and the insert, is Grade 3 okay?
I would say that Grade 3 is ok, but we would like to see a sample of this paper to see
what it looks like with print on it.
4. For the body stock, is 40# 80 brite uncoated offset acceptable?
Yes, uncoated stock is fine for this. The City would also like flexibility in paper stock as
our budgets may need to be adjusted periodically.
5. Can you confirm that the publication will bind on the 10.25" side?
The publication will bind so that the final product is roughly the size of letter paper in the
portrait position. We are willing to consider other sizes and options but the finished size
must comply with USPS regulations.
6. What kind of proofing are you wanting? Will you need to see hard proofs of the files before it
goes to press?
We would need a hardcopy proof for the first round and then if we make any changes, a
digital proof would be acceptable.
7. Our company will need to subcontract the gloss covers. Do I just need to indicate the
company who we will be using to print the covers?
Yes, we will need to know who will do that work and what the cost for that would be as
well. It is the City’s expectation that we will work through you to supply artwork to the
sub-contractor.
8. The RFP indicates other close dimensions to your standard size will be considered. Could
you please let me know if the 8.375” x 10.875” is an acceptable size?
Yes, we are flexible in regards to the size.

9. We can only stitch a max of 96 pages at this thickness. Is there any consideration given to a
different page count?
The page count has been around 96 pages in the past but can fluctuate up to 142
pages, which is why the RFP asks for an in-between count. Flexibility regarding page
count is an important requirement and will be part of the RFP evaluation.
10. In regards to the mailing - is this an every- door direct mailing? The specs only says direct
mail, so we want to make sure. Or are you supplying addresses for the ink jetting?
The direct mail portion of the Recreator is not an every- door direct mailing. Rather, we
will provide four lists that will need to be combined and duplicate recipients removed
prior to addressing the Recreators. Typically there are between 11K-15K people on this
list.
11. I was hoping to look at the previous winning bid for the Recreator’s printing. Is that public
information that the City can provide me?
Any public information regarding a Bid or RFP is posted on the following link:
http://citydocs.fcgov.com/. The previous RFP is listed under 7070 Printing and
Distribution Service. Bear in mind that the previous RFP may have required different
specifications and therefore proposals submitted for this RFP will be evaluated based
on the criteria listed on the current RFP document. Scores for this RFP will be based
solely on the current RFP specifications and terms.
