Additionally, Varsity has maintained a relationship with the City of Ft. Collins for the past 19 years. We have appreciated this relationship and this partnership that we feel has provided tremendous value to both the City and to Varsity. Having worked with the City for a number of years, we feel we understand the ‘ebb and flow’ of the City and its diverse needs better than anyone. We also understand that today’s needs are not necessarily the same as tomorrow’s needs. We continually recommit ourselves to our customers to ensure that success does not breed complacency. Our proprietary JanOPS© operating system is designed to provide continual training and guidance to our team, consistency in your facilities and ways to reduce waste (wasted time redoing tasks, wasted time not following a structured cleaning process, etc.). We are excited for the privilege to participate in this RFP and hope you find our offering meets your needs. Collins Project Manager on their monthly inspections 4 times a year. Off-site management will also assist the area manager with any administrative work load as needed. Additionally, off-site management will assist the Area Manager in any safety or JanOPS training as needed. Area Manager The area manager will visit the site twice a month and the area supervisor will visit the site weekly. The purpose of those visits will be to assess quality and ensure the cleaner has all of the tools and supplies needed to accomplish the service expectations. The area manager and supervisor will also provide any needed training to the cleaner at that time. Finally, the area manager will document and report any issues to the Custodial Operations project manager as a result of the visit. SafetyOPS guarantees that City of Phoenix will not be faced with a safety emergency in which Varsity’s janitorial staff has been trained. SafetyOPS is Varsity’s program for maintaining a safe work environment and ensuring injured employees are cared for properly. Safety is a broad subject ranging from defensive driving, to building security, to wearing gloves, to everything in between. SafetyOPS does not address every single aspect of safety. SafetyOPS focuses on how employees can prevent workplace accidents from occurring—and should an accident occur, how to manage the process effectively. Safety and Health are the “S” and the “H” of our SHAPE strategy. Here are just a few of the ways Varsity keeps employees safe and accident free. • New-hire training DVD focuses on safe practices • Managers perform “SHAPE skill checks” to ensure employees are following safe practices • Safety poster mounted in custodial closet. Poster reminds employees how to: o Use chemicals safely o Lift safely o Work safely • Safety Point-Of-Contact stickers mounted on equipment to remind employees of safe and healthy practices • Supervisor holds monthly safety meetings • Scientific processes designed for less bending, less lifting, and less chemical inhalation. • Specialists stretch for one minute at the beginning of each shift. This helps prevent injury and creates a “safety mindset” with employees. OSHA Certifications Varsity leadership pride themselves on being able to train employees in OSHA safety standards. Area and District Managers are required to obtain their OSHA certifications and many have taken specialized courses which have enabled them to certify others. Varsity is aware that City of Phoenix has standard safety and security procedures, Varsity leadership will adapt training to meet these specific needs. JanOPS ensures you consistent, high quality service delivery that improves the SHAPE of every facility we service. Employees are trained according to these measures: Start JanOPS Standard work: • Standard work flow (designed to maximize efficiency and crew supervision for you) Janitorial Services Proposal 12 • SHAPE engineered processes (consistent delivery for all facilities in contract) • “5’s” your janitor closets. (5’s stands for Sort, Stabilize equipment & supplies, Shine, Sustain & Standardize) • SHAPE best practices: (cross-contamination-points cleaning, microfiber towel usage, ergonomic vacuuming, lifting process and more) Implement Production Quadrants and optimized workflow: Production quadrants and optimized workflows organize cleaners’ routes in the most efficient workflow, based on each facility design. Each specialist receives a detailed workflow outlining time, location and task to be cleaned each night. Production quadrants and optimized workflows maximize our cleaning specialist’s supervision, contributing to better management of cleaning staff and protection of facility populations. We will develop detailed cleaning schedules for each path in which routine, detailed and periodic work are accounted for in each week and month. Begin Visual Process Management: Each cleaning process is visually reinforced and managed using our third level of training we call “Point of Contact” (POC) training. All equipment and custodial closet walls have a visual clue of both our operating system’s standard work and YOUR standards. POC standards are used in our daily training, and weekly quality audits to reinforce precision in following JanOPS SHAPE designed processes. Pictures will be taken of key surfaces each crew is responsible for maintaining, providing a “Poor, Good, Excellent” visual of how the surface should look. Pictures are then incorporated into the visual management system. Motion: Unneeded bending, turning, reaching or lifting in cleaners’ standard work 4. Waiting: For direction, communication or others to start cleaning 5. Over-cleaning: Excess cleaning that exceeds required standard 6. Over-expecting: Expectations that require more cleaning than needed 7. Defects: Re-work, errors or other costly mistakes that take additional time or that damage surfaces 8. Skills: Under-utilizing capabilities or delegating tasks with inadequate training We will help you write new standards and specifications for any future RFP that incorporate the reduction of the 8 Wastes as well as our structured approach to cleaning, ensuring that you capture the continuous improvement and best practices obtained throughout the life of your contract. A ProTeam vacuum with HEPA- rated filtration will be used. Spot cleaning with the appropriate spotting chemical and handheld extractor will occur as needed. Large spots will be reported to the Custodial Operations manager. Production Rate; vacuuming - 8,000 sq ft per hour, carpet spotting – 4 minutes per spot VCT Dust mopping and damp mopping will occur on a daily basis using cold water (to ensure no hazing of the finish) and Alpha HP. Microfiber materials will be used to ensure maximum soil removal. Spray buffing will occur monthly and strip and refinishing will occur annually. Production Rate; dust mop and damp mop – 5,000 sq ft per hour, spray buffing – 1,500 sq ft per hour, strip and refinish- 500 sq ft per hour Ceramic Tile Dust mopping and damp mopping will occur on a daily basis using Alpha HP. Microfiber materials will be used to ensure maximum soil removal. On an annual basis, and if needed in the interim, we will use a TruckForce extractor with a grout cleaning tool and Viper Venom to restore the grout color.
