MindMixer provides a turn-key service that includes web hosting, application maintenance, and
regular calls with a dedicated Engagement Specialist. This service, combined with the best in class

MindMixer has developed best practices regarding site moderation, administration, and alerting.
The application has several automated tools in place to both monitor and promote high quality
activity and alert staff to necessary areas.
MindMixer services and support features were developed to minimize client resources required to

spends 8-10 hours per month administering the site. MindMixer will assign a dedicated account
manager to the project who will work closely with the client to lead our proven six-phase process

TWO-WAY DIALOGUE
You have the capability to respond to participant ideas within the web interface. Staff members can
be identified by name and title, allowing their comments and ideas to be differentiated from user
ideas. Staff can also quickly and efficiently provide users with an update on their ideas by sorting
and labeling user submitted feedback using appropriate status phases.
LOCATION-BASED
MindMixer is the first and only all-encompassing engagement platform to integrate dynamic
mapping within the participation suite. Participants have the ability to tie a map location to any idea
submission. Additionally, staff has the ability to define geographic boundaries and present location-
specific initiatives for feedback.

SOCIAL MEDIA INTEGRATION
MindMixer has deep integration with the most popular social media sites such as Facebook, Twitter,
LinkedIn, and Google+. In addition, MindMixer can be integrated into existing Client Web Pages.
Each of these integrations create more opportunities for citizens to engage.
ADMINISTRATOR EDITING
At the onset of the project, Client staff will participate in a thorough MindMixer University Training
Program. This training session will provide staff with the necessary knowledge and confidence to
post new topics, videos, images, and maps to the site.
POINTS & REWARDS
MindMixer has been recognized by several national publications as the leader in gamification within
a community engagement framework. Participants have the ability to earn engagement points
through quality participation and these points can be “cashed in” for rewards you provide. The
system is designed to reward and recognize those participants who submit high quality ideas and
keep the conversation moving in a meaningful way.

SITE GUIDELINES
MindMixer does not allow for anonymous participation; sign up is required. Our extensive
experience has shown that verified participation yields high quality input and less negativity.
Additionally, collecting basic demographic information from participants allows for a richer
and deeper understanding of site activity. Users also have the ability to sign up by using their
Facebook account.
MindMixer provides appropriate participation guidelines and terms and conditions to users,
monitors user participation, and will moderate user feedback when necessary.
RECORDS MANAGEMENT
While inappropriate feedback is removed from the site, it is maintained in the database for public
records and an email with explanation is sent to the user. MindMixer will maintain the data for
a period of seven (7) years from the conclusion of the project and can deliver the data to you at
anytime to better facilitate public record laws.
MindMixer employs federal standards for records management and open government laws.
MindMixer works in more than 40 states, bringing extensive knowledge of state-level open record
laws. Our system provides city staff access to all content produced on the site at any time through
the Data Dashboard.
SITE POLICING
MindMixer provides site guidelines for participants, monitors participant activity, and helps keep
conversations meaningful and on topic. Participants also have the ability to self-police through a
user-reporting tool. The MindMixer platform is monitored at all times to assure the best experience
for all participants.
Although we do not anticipate inappropriate activity, MindMixer has a standardized process for
notifications in the event of content moderation. If content is deemed inappropriate and removed
from the site by either MindMixer, you, or other participants, each participating party receives
an email with a description of when and why the content was removed. You have access to all
unfiltered content within the Data Dashboard.
MINDMIXER SERVICES
LICENSING SCHEME
MindMixer provides its web-based technology via a contractual arrangement with clients.
MindMixer hosts your site and provides access to all MindMixer features through a Management
Dashboard that you can access at all times. In addition, MindMixer provides access to our
proprietary Data Dashboard, giving you real-time insight into participant demographics and
activity. MindMixer is not an installed desktop application, our “licensing scheme” is a contractual
agreement giving you access to our web-based application.

AVAILABILITY
MindMixer staff is available from 7:00 AM to 7:00 PM CST, seven days a week, and is committed to
responding to all client contact within 24 hours. Site updates not requiring custom changes, will be
made within 48 hours of such request. You have the ability to make site updates at any time through
the Management Dashboard as well.
Each of the key personnel identified have the capacity and capability to deliver the identified
services and technology within the project schedule identified. If additional staffing resources need
to be applied to meet project goals, MindMixer is committed to providing those resources.
OFFICE RESOURCES
MindMixer has all of the necessary office resources to provide the best experience for you. These
services include communication technology, clerical support, and general administrative support
where needed.
BUDGET CONTROLS
MindMixer utilizes the best internal accounting and project management technology in the market.
In addition, MindMixer has never has a client/project exceed the allotted budget and never
requested additional fees for service.
ADVERSE ACTIONS/POTENTIAL IMPACT
MindMixer is not currently involved in any litigation, threatened litigation, investigation,
reorganization, receivership, filing, strike, audit, corporate acquisition, unpaid judgments or any
other action that could have an adverse impact on our ability to successfully complete the project’s
scope of work.
Additionally, MindMixer is free from being unable to complete a contract, being removed from a
contract, or being replaced during a contract period throughout the existence of the firm.

MindMixer was conceived by planners and we love measuring, reporting and visualizing data in
usable and meaningful ways. We believe that data analysis is the difference between a good project
and a great project.
The MindMixer Data Dashboard is one of the most important elements of the site. This dashboard
provides real-time insight into site activity, popular topics, participant demographics, engagement
trends, and user profiles. All of this information provides important insight into user behavior,
allowing staff and elected officials to make more informed decisions. The data dashboard, provides
the following analysis materials and graphics:
• Fun and informative infographics
• All site activity and content
• Analysis of the quality of the content (as compared to other outreach efforts)
• Analysis of the level of participation among participants

PHASE 1:
Initiation Phase
The Initiation Phase is the first step to a successful project. This phase consists of
the Project Kick-Off Meeting and focuses on establishing common goals between
the client, its planning team, and MindMixer. Together, we define what a successful
project looks like at completion and craft a plan accordingly to achieve those goals.
Additionally, this phase includes the following key milestones:
• Invitation and orientation of project management and collaboration tools
• “Welcome to MindMixer” training session for staff and key stakeholders
• Complete project communication schedule (weekly support meetings)
• Introduction of Site Design Checklist to be completed by the Client, which includes
site aesthetics, initial content, and domain name
PHASE 2:
Discovery Phase
The Discovery Phase is all about establishing the content and strategy for your
MindMixer site. This phase incorporates product customization and identification of key
stakeholders. Key milestones within the Discovery Phase include:
• Completion of Site Design Checklist
• Identification of key project stakeholders
PHASE 3:
Design Phase
This phase incorporates site design and the project brand and messaging. This phase
is hugely important as it sets the tone for project messaging, a key indicator in project
success. This phase includes the following key milestones:
• Design key site elements including color themes and interface visuals

PHASE 4:
Construction Phase
The Construction Phase incorporates the nuts-and-bolts of site creation, analytic
integration, integration of chosen game mechanics, and any additional technical details.
This phase includes the following key milestones:
• Final site creation and client review
PHASE 5:
Outreach Phase
The Outreach Phase is the “doing” phase of the marketing and outreach plan. This
includes implementation of all site marketing elements including traditional media,
social media, and on-the-ground efforts. Prior establishment of the marketing
responsibility matrix allows for a true partnership between the client and MindMixer,
leading to greater accountability, constant communication, and measurable efforts. This
phase includes the following key milestones:
• Official launch of site
• Press event and press conference
• Distribution of traditional media materials and communications
• Social media marketing official launch and messaging
• Distribution of marketing collateral like posters, fliers, newsletters, etc.
• Ongoing, measurable, outreach efforts as the project evolves
PHASE 6:
Data Analysis and Reporting Phase
We are planners and market researchers at heart! We love measuring, reporting, and
visualizing data in usable and meaningful ways. We feel strongly that this phase is the
difference between a good project and a great project. In addition to providing real-time
access to the data dashboard, at the conclusion of each project a data-driven report is
generated.

Work Schedule
We can easily support your desire to have a site up by later in 2012. We recommend 6 weeks

NICK BOWDEN – CEO, CO-FOUNDER
Nick will serve as the point-of-contact for the entire proposal evaluation process and maintain
a supervisory role throughout the process to ensure you and MindMixer Staff
have every resource necessary to be successful.

Nathan will serve as the internal coordinator of the MindMixer team and technology. Nathan’s
ongoing technology-oriented work makes certain the web portal continues to be enhanced
and improved throughout the engagement.

Co-NICK founder, BOWDEN CEO
After experiencing years of frustration with the public meeting process, Nick decided to
do something about it. Nick led MindMixer from concept to reality and now serves as
CEO. Nick’s professional experience as an urban planner and meeting facilitator gives
him unique perspective into the stakeholder input process. He will continue to guide the
growth and development of MindMixer from that “cool idea” start-up to industry leader
in web-based stakeholder collaboration.
Since MindMixer’s inception, Nick has worked on projects across the country, learning
valuable insights about public engagement along they way. In fact, simply providing
useful tools for engagement may not lead to broader citizen involvement. In order to
reach the greatest levels of engagement, citizens must be able to participate within the
context of their lives.
Nick’s motto, “there is no such thing as bad weather, only inappropriate clothing,”
explains his eternal optimism. He believes strongly that citizens want to be involved in
meaningful participation efforts, but need to have simple and convenient opportunities
to get involved. This belief serves as the foundation for everything MindMixer does.

Nathan brings more than 15 years of experience in technology, urban planning, and
web-based engagement efforts. He has an extensive background in using technology
to help facilitate community engagement.
Nathan will serve as the project coordinator. As project coordinator, Nathan will manage

Account DAVID Manager ARNOLD
David first became acquainted with MindMixer during his tenure as the Deputy
Communications Director for the Mayor of Omaha. It was at this time he had the
fortunate experience of leading the city’s side of MindMixer’s first citywide project,
EngageOmaha.com. David’s familiarity with the inner workings of municipal
government and his former status as a client of the company allow him to provide
unique insight to project leaders across the nation.
Since joining the MindMixer team David’s focus has been on leading new clients
through the site creation process, helping clients craft compelling topics, and
collaborating with client project leaders on community outreach efforts.
David has a strong interest in community development and transparency in government.
His term on the Greater Omaha Young Professionals Board of Directors has deepened
his commitment to community development and inspired many ideas and experiences

At the completion of the “Online Engagement Goals and Purpose” course, MindMixer staff will
provide a content roadmap, designed to achieve the particular goals for your site. This roadmap will
contain three months of recommended programming, all geared towards maximizing participation
and input on your new MindMixer site.
Content Review and Technical Support
MindMixer staff will provide ongoing review of new content and provide both client and user support
throughout the term of engagement.
