ATIS RFP Question and Answer Session

Ed Bonnette gave an introduction of the RFP process, explaining that interested parties
should register on the City's Purchasing Department website as a vendor. Dean Erickson
gave a brief overview of the scope of the ATIS project, describing current system
configurations and expectations for implementation of the solution. Mr. Erickson
indicated that there is currently a GPS infrastructure on the transit system which should
be integrated. He also indicated that there will be a large pilot project period for
integration of the various modules involved. Mr. Erickson described that there will be
integration with the ATIS project into the current Mason Corridor Project (MAX) which
is a federally and locally funded BRT project.
Mr. Erickson listed some of the questions that have come in so far:

Ishmael (Last name unknown): What is the deadline for asking questions?
Ed Bonnette: As quickly as we can get them, but we do not want to push the due date of
the project after June 1. We want to make sure that we get any addenda to your hands.
Susann Poggioli: Can you provide the configuration of the vehicles in Appendix C, can
you pride-the-dimens�ions of the doors and whether they open in or out?
Dean Erickson: We will provide the dimensions in the addendum.
Susann Poggioli: Table 16, there are 6 supervisor vehicles, can I assume we will provide
pricing for them?
Dean Erickson: There will be MDC's in the supervisor vehicles, but will not be a full
blown system.
Susann Poggioli: How many buses should there be pricing for as there are multiple
references to various types of buses and quantities?
Dean Erickson: 40 vehicles and 100 employees were used in order to provide a round
number.
Susann Poggioli: What engine metrics are being requested for the vehicle monitoring
system?
Dean Erickson: We would like to know what types of options are available. Indicate if it
is an integrated system.
Susann Poggioli: Is the City providing hardware (servers/workstations)?
Dean Erickson: Yes
Susann Poggioli: Is the City providing the wayside signage?
Dean Erickson: The General Contractor will be providing all the variable message signs
along the BRT and the STC.
Susann Poggioli: Qualifications and experience (Pg 55) are you looking for design
documents?
Dean Erickson: A pdf or something that shows a description of the project or weblink of
the project should be provided.
Candice Beckman: Have you considered making the mobile section of this come later in
the project?
Dean Erickson: CAD and In Vehicle systems must be in place in order to provide an
external feed to other applications.
Candice Beckman: The requirements for this section are all available through mobile
websites, so what is the intent of the mobile app?
Dean Erickson: We have done a fair amount of research on this and the mobile website is
a requirement. The mobile app is still under discussion but is driven largely by the local
University that has requested access to develop apps.
Candice Beckman: Is there additional functionality that is requested in an app?
Dean Erickson: We have a lot of ideas but we would like to see something that is actually
functioning that can be demonstrated.
Candice Beckman: In the section on SMS, it describes day of week and time of day, is
that just the filtering system that you would like to use?
Dean Erickson: Yes, it is those are the filters we'd like to see.
Jordan (Lastname unknown): In the price sheet in appendix A, the number of buses is
confusing. Can you add the quantities that you want to see in each section? For
example, in Appendix A, table 10, it shows the various types but no quantities. It would
be helpful if these had the quantities for costing.
Dean Erickson: There are not extensive differences between the multiple types of
vehicles, but we will consider it.
Jordan (Lastname unknown): In Appendix C, for 1708 and 1939, what do they refer to
on that particular vehicle?
Dean Erickson: These are the native systems for those vehicles.
Jordan (Lastname unknown): You requested information on integration for the fareboxes
and headsigns. Could you provide information on the systems?
Dean Erickson: The GFI Cents -A -Bill (farebox) does have the required cabling for the
integration. But if there is a specific requirement for the head signs, please provide any
information you need.
Jordan (Lastname unknown): Are the sound systems in good working order?
Dean Erickson: Yes.
Ishmael (Last name unknown): Is the GFI firmware update in place for integration (for
single sign on)
Dean: Firmware from GFI is easy to install and will be done if it is needed.
Shell (Last name unknown): On the question regarding budgets, is there additional
funding for the project?
Dean Erickson: We are not giving that budget at this time.
Jordan (Lastname unknown): Is there an estimated timeline for completion?
Dean Erickson: Yes, the project is key to our BRT project which must be completed by
January 1" 2014. This project must be done before then.
Troy Whitesel: Will there be any integration to your two way radio system in the
vehicles?
Dean Erickson: It can be an option included in the proposal.
Shell (Last name unknown): Who is the manufacturer of the radio system? P25, analog
etc
Dean Erickson: We will provide the information in the addendum.
Troy Whitesel: Who should questions be sent to?
Ed Bonnette: Purchasing.
The session concluded at 9:40 am. Ed Bonnette stated that the questions will be
distributed on Wednesday.
