UC U 3.2.3 Deployment Deliverables Below are the deliverables GTRI will provide as part of the deployment. • GTRI will implement the solution as identified in the statement of work • GTRI will provide documentation as defined in the deployment tasks • GTRI will provide final as -built documentation of the implemented solution • GTRI will provide information regarding the verification tests run on the installed components that are a part of the project and the results of those tests OPP-36841 UC Upgrades 8/9/2012 UC Upgrades 4 Assumptions This section of the statement of work covers the assumptions that are made as part of this project. These assumptions include tasks that the Client will agree to perform as part of this project. These assumptions will also include what items are in scope and out of scope for this project. General Assumptions • Client will provide GTRI with a single point of contact or key staff necessary for completion of the project. • All communications for project details including scheduling, planning and work changes must be communicated from the client point of contact to the GTRI primary point of contact. • Client will provide GTRI will information about their currently deployed IT infrastructure as applicable to this project. The Client will provide information to GTRI about sites of operation, WAN circuits, Network topology, IP Telephony system information, and all IT computing systems. • Client will work with GTRI to gather all data necessary for the work to begin on the first day of the project. • Client will ensure all appropriate power/environmental requirements are provided to the specific project needs and environmental standards are being met prior to start date. This includes rack space, power and cooling. • Client will verify all cabling requirements are completed prior to the beginning of the project. Project Assumptions • Prior to scheduling a GTRI resource for this project, Client is responsible for obtaining the software upgrades for CUCM, Unity Connection, and UCCX. The upgrades can be obtained using the Cisco Product Upgrade Tool - w�vwxisco.com/un.!rade. • All planning, staging, and training will be performed remotely during normal business hours. • All cutovers will be scheduled outside of normal business hours during the Client's maintenance window. • Client understands that some of the work completed by GTRI personnel may be completed off -site at GTRI facilities. Such work includes project documentation, status reports, test plans and back out plan development. • Client is responsible for having current support for hardware and software (i.e. Cisco SmartNet) related to this project. • Client understands current LDAP integration to the Unity system will have to be changed to either stand alone or integrated with the city's active directory. OPP-36841 UC Upgrades 8/9/2012 UC Upgrades • Client is responsible for any configuration required to Active Directory to accommodate the LDAP integration to CUCM or Unity Connection. • Client understands that endpoint firmware upgrades may need to take place on the current cluster to ready the endpoints for migration to the 8.x cluster. Client agrees to work with GTRI to achieve appropriate system upgrade/migration readiness. • Client will provide remote access as necessary to the production environment for staging, upgrading, and support purposes. • Client is responsible for all Multicast and QoS configurations on the LAN/WAN. No network configuration or troubleshooting is part of this proposal. • Client Responsible for ensuring Unity version meets minimum COBRAS requirements. These requirements will be detailed in the PDER. • Client will assist in the creation of any DNS related entries including A records, SRV records, and or PTR records needed for the applications to function properly. • If any changes are identified as a part of the CCX upgrade plan that require scripting or coding changes for the database integration or the credit card payment systems will be addressed with a change order. • Work beyond what is stated in this SoW, including additional Day-2 support, can be requested and processed in the form of a change order. OPP-36841 UC Upgrades 8/9/2012 10 UC 5 Project Pricing This pricing is for GTRI to complete the work previously defined in this document. This is a firm fixed priced engagement based on the information that has been collected and the assumptions defined above. If any changes are required then the client will follow GTRI's Change Order Process to make any necessary adjustments. Below is a breakdown of milestones and phases that will be performed as part of this project. Engineering time used outside of normal business hours may require a change order detailing the work to be completed and any associated costs for work to be completed outside of normal business hours. All prices are quoted in U.S dollars. Prices do not include tax, fieight, or customs charges. The services pricing for this agreement is good for 90 days from the date it is issued. if the proposed start date for the project is greater than 90 days from the creation of this document then this document will potentially need to be revised. OPP-36841 UC Upgrades 8/9/2012 .........................12 UC Upgrades 1 Project Overview The City of Fort Collins has a requirement to migrate their existing Cisco Unified Communications applications to the latest 8.x version. This project is to prepare a new 8.x environment and migratation to the new environment minimizing down time. The new environment will consist of new Cisco UCS C series servers running VMware ESX 5. This is an optimal approach to minimize the amount of required servers by virtualizing mulitple UC applications on the VMware ESX servers. A planning phase will be performed to determine and document the entire upgrade and migration process. The design document resulting from the planning phase will be followed to perform the upgrades and migration to the new 8.x environment. This Statement of Work serves as written documentation and the basis of understanding for technical integration services to be performed by Global Technology Resources, Inc. (hereinafter GTRI) for Signature Page (hereinafter Client). Unless otherwise negotiated, the terms and conditions outlined in the Master Sales Agreement (MSA) govern the work contained herein excluding Federal and some State and Local agencies. The MSA, located online at www.gtri.com/MSA, is the most current version and may be updated from time to time. OPP-36a41 UC Upgrades 8/9/2012 UC Upgrades 2 Project Management 2.1 Project Initiation Project Kick-off: GTRI will conduct a project kick-off meeting prior to work commencing to review the project scope, project requirements and objectives, technical approach, communication plan and project schedule. This meeting will be lead by the GTRI Project Manager or BU Practice Leader, and include the Client, Project Team, and other stakeholders. 2.2 Project Planning Schedule: GTRI Project Management will provide a project schedule to outline the tasks and timelines required to accomplish the scope. This can be included on the format of MS Project, MS Word, MS Excel or simplified email format. 2.3 Project Execution Resource Management: GTRI Project Management will be responsible for coordinating and directing the project team and resources. 2.4 Project Control Project Status: GTRI Project Manager will provide a project status to the project team and stakeholders during the duration of the project. Depending on the type and duration of the project, this can be conducted at milestone points or regular intervals during the duration of the project (per the project communications plan). This will be in the format of an audio call or physical site meeting and/or a status report. Change Management: GTRI Project Management will control any required changes to the project scope in the format of a Change Agreement. If such requirement is identified, a Change Agreement form will be created to outline the changes in scope and cost prior to commencement of work and approved by client. 2.5 Project Close-out GTRI will conduct a project closure to review all completed tasks and components of the project scope. This will include reviewing any project checklists and or punch lists, testing results and deliverance and review of any included project deliverable documentation as per this SOW. OPP-36641 UC Upgrades 6/9/2012 UC Upgrades Upon completion of the close-out, GTRI will present the project close and acceptance form to the client for acceptance and hand off the project to GTRI Managed Services if purchased. This meeting will be lead by the GTRI Project Manager or BU Practice Leader, and include the Client POC, Project Team, and other stakeholders. OPP-36841 UC Upgrades 8/9/2012 ►J UC Upgrades 3 Design and Deployment Services This section identifies the work that will be performed as part of this project. The project will follow the order of the activities as they are shown below. 3.1 Planning & Design This portion of the project is a detailed planning and design phase that incorporates both a discovery and a design component. During this process all elements that potentially impact project success are examined. Once complete, detailed design recommendations and a project implementation schedule are created that will ensure the proposed solution meets the Client's requirements. 3.1.1 High Level Planning Tasks • Inventory of current voice components on site and at the remote locations • Detailed requirements document. The requirements, at the minimum, should address o Matching existing features o Advanced features for all Client users o Telework features and capabilities o Call center o Unified Messaging • Strategy for UC upgrades by site and by feature set • Detailed input for Request for Quotation preparation 3.1.2 Technical Architecture Report Comprehensively specify the elements required to deliver and support optimal convergence capabilities. The subsections below detail specific areas of the Technical Architecture Report: 3.1.2.1 UC Upgrade Planning • Gather information regarding the UC server details to include: • Server hardware and software versoins • Determine upgrade path(s) 3.1.2.2 Telephony Planning • Review voicemail system • Review contact center systems • Review oracle integration for database • Review custom code for CC payments • Review communications manager system • Determine dependancies to other systems (Nuance, RightFax, etc.) • Telephony Feature Requirements OPP-36841 UC Upgrades 8/9/2012 4 UC • Review current use of telephony features and document new feature requirements consistent with proposed design • New business and application initiatives expected to result in requirements for additional bandwidth or redundant paths, including currently outsourced Internet applications • Document any gaps • Document VoIP security requirements • Media encryption • Signaling encryption • Device hardening • Security design recommendations • Security policy recommendations as they pertain to the proposed telephony design 3.1.2.3 Physical Requirements • Document equipment installation locations • Review physical environment • Power, Grounding, HVAC is Ready • Cabling and Patch Panels are Ready and Tested • Rack space availability and suitability for IP Telephony servers • Provide rack elevations showing installed hardware 3.1.3 Migration Planning Formulate optimal scenarios for migration to the upgraded infrastructure, and create test plans. This task will be incorporated into the PDER. 3.1.4 Planning & Design Deliverables Below are the deliverables GTRI will provide as part of the planning & design. • GTRI will provide documentation as defined in the planning and design tasks • GTRI will produce a Pre -Deployment Engineering Report (PDER) detailing the results of the planning & design phase, final solution design and final project schedule • GTRI will detail any modifications to the project design, assumptions and costs identified during the planning & design and provide any required project change orders • GTRI will create a project schedule and any associated change management approvals for project deployment 3.2 Deployment This section of the Statement of Work covers the work that will be performed during the deployment phase of this project. This covers all phases of the deployment of the solution. OPP-36841 UC Upgrades 8/9/2012 5 UC 3.2.1 Deployment Tasks The upgrade will include two new C210 Cisco UCS servers at CHW, two new C210 Cisco UCS servers at FRII, and two new C200 Cisco UCS servers at the CSD call center. The servers at CHW and FRII will have the latest version of 8.x for CUCM and Unity Connection; the servers at CSD will have the latest version of 8.x for CUCM and UCCX. These servers will all have VMware ESX 5 installed on the bare metal and the Cisco UC applications will be installed as virtual servers in the new ESX 5 environment. The PDER design document will detail the upgrade tasks in greater detail. The tasks below are high level examples of the tasks that will take place. 3.2.1.1 VMware ESX 5 Tasks • install VMware ESXi 5 on six Cisco UCS servers. • Use OVA templates to prepare for CUCM, Unity Connection, and UCCX server installation 3.2.1.2 CUCM Upgrade Tasks • Install desired phone firmware loads in the existing environment (reset device pools during maintenance window). • Complete backup of current system configuration. In an isolated environment, perform the following: • Publisher: Install the 8.x version and restore the backup. • Subscribers: Install the 8.x version on six servers and add to the 8.x cluster To cutover to the new version, use the method detailed in the PDER. • Verify licensing and functionality of system (including backups). • Perform testing as defined in formal test plan. 3.2.1.3 Unity to Unity Connection Migration • Complete backup of current system configuration. • Run dbwalker to check database consistency • Use the COBRAS tool to extract Unity configuration • Install Unity Connection on the UCS servers • Import COBRAS data into Unity Connection • Verify licensing and functionality of system (including backups). • Perform testing as defined in formal test plan. 3.2.1.4 UCCX Upgrade Tasks • Complete backup of current system configuration. In an isolated environment, perform the following: OPP-36841 UC Upgrades 8/9/2012 6 UC Upgrades • Install version 8.x on both servers in a HA configuration. • Migrate agents/supervisors and scripts To cutover to the new version, use the method detailed in the PDER. • Verify licensing and functionality of system (including backups). • Perform testing as defined in formal test plan. 3.2.2 Day 2 Support and Administrator Training Day 2 Support Day 1 support (i.e. installation cutover support) is included in the implementation service provided by GTRI as part of this project. Cutover support is limited to the day/night of the cutover. A limited amount of Day 2 support (post cutover support) is included as part of this project. Sample items that Day 2 support covers include: • software bugs - related troubleshooting and patching (including TAC case handling) • moves, adds, and changes (i.e. MAC work) • minor re -configuration • break/fix - related troubleshooting • general ongoing system tuning, support, and maintenance Client understands that the need for support is greatest during the days, weeks, and months immediately following each upgrade and the cutover and Day 2 support included in this project scope is limited. Included in this proposal are 40 hours of Day 2 support that will be provided following some of the phases and after the final production cutover. It will be determined during the planning phase which upgrade phases will require the post implementation support. This amount of time is recommended to provide essential support and to provide a resource for any questions or issues that arise as a result of the upgrades. Administrator Training GTRI will provide one half day of administrator training. It is understood that Client will provide initial training for their IP telephony support staff. This training will be a Q&A session to answer any questions regarding the differences between the previous and new versions. It will also include day to day typical administration tasks and how they are performed on the new version. In addition to that, the training will include server access via CLI, and an overview of the new administration pages (operating system, backups, and serviceability). Note: This training session assumes that the attendees will have knowledge of the existing CUCM environment. The training will cover the differences between the old environment and the new environment. Also, this training is not a substitute for formal training classes that are available.
