Mason St. 2nd Floor PO Box 580 Fort Collins, CO 80522 970.221.6775 970.221.6707 fcgov.com/purchasing ADDENDUM No. 3 SPECIFICATIONS AND CONTRACT DOCUMENTS Description of RFP 7184: Discovery Museum Exhibit Fabrication OPENING DATE: 3:00 P.M. (Our Clock) February 22, 2011 To all prospective bidders under the specifications and contract documents described above, the following additions are hereby made. Questions and Answers: Please review the questions in black and the answers are in green. Area Drawing/Component Questions General Proposal Will a full proposal be required as per RFP 7184 Step 2, pages 12-13? No RFP was issued with this bid package. Yes, you will need to follow the process in Chapter 4, Section 3, Step II of RFP 7184 for completion of the proposal. General GMP Is a line itemed cost estimate all that is required at this time (per the supplied bid form), or a GMP? If a GMP is required, how would you like it broken down with regards to G&A etc? A GMP is required, per Paragraph 3.2.h of the RFP. General Bonding Is a bid Bond, or security, still a requirement? Yes. General Building What is the current building construction status? Is there a construction site webcam and/or are current photographs available? We are installing the structural steel. Attached are some recent photographs. General Building Is there still an opportunity to provide a blocking plan for installation of plywood blocking by the GC? Yes, but we already have plywood behind the sheetrock on all of the gallery walls. General Building What are typical working days and hours when the building site will be available/open for installation by Fabricator? Typical is 8:00 A.M. - 5:00 P.M., Monday through Friday, but you can request alternate hours to facilitate installation. General Building Will the exhibit galleries spaces be provided in a broom-clean state and principally free of other trades? Yes, the gallery will be better than broom clean and there should be no other trades in there when exhibit installation takes place. General Building What is physical access path to exhibition spaces from street to gallery? Please describe all changes in elevation and doorway/hallway dimensions. We are currently adding a 9' wide X 12' high overhead door on the North side of the Traveling Gallery and a portion of the wall between the Traveling Gallery and the Main Gallery will be left out for the exhibit installation. General Building Is parking available on the job site? Yes. General Building Is this project applying for LEED certification at any level? And, will any LEED documentation be required by the Fabricator? Yes, we are striving to attain at least LEED Gold Certification and possibly LEED Platinum. We are currently investigating how the Fabricator's information will be able to be included in our submission, but we do expect the Fabricator to follow the sustainability practices outlined in the RFP and keep appropriate records. General Building Will any Fabricator drawings be required to be stamped/signed/sealed by engineers in any discipline? The Fabricator may need to provide structural, mechanical or electrical drawings stamped/signed/sealed, dependent upon the exhibit and its compliance with Codes and Regulations requirements. General Electrical At what location is the "point of service" or "distribution points" for exhibits where the GC will be providing connections for electrical, data, plumbing, HVAC or other utilities integrated into exhibit components? And what is the standard type of connection or distribution point where the Fabricator will need to connect? The "point of service" or distribution points" for the exhibits will be as described in the architectural drawings provided, as well as the lighting drawings that are part of the exhibit design drawings. There is no standard type of connection or distribution point where the Fabricator will need to connect; it will vary dependent upon the service needed. Once the Exhibit Fabricator is selected, there will be further dialogue on these points. General Electrical Are electrical connections provide by Fabricator expected to be terminated by hard-wired connections or cord plugs in receptacles? If cord plugs, are there limitations (max. or min.) based on local code or other project requirement regarding the length of cord? There will be instances where the connection will be hard-wired and others will be plugs; this is mostly dependent upon the exhibit. As indicated above, there will be further dialogue on this with the selected Fabricator. General Lighting For lighting that is integrated into exhibits or exhibit structures where and what is the point of connection with the GC scope? The GC will provide the points of connection as indicated on the exhibit lighting drawings. General Refurb Because we will not be able to examine exhibits that require refurbishing, will the Owner be suggesting a refurbishment "allowance" per exhibit or an overall allowance for the entire project? We can provide photos and video documentation, in addition to the exhibit drawings, that should allow you to provide pricing for these items. General Artifacts For artifacts mounting that may be included in Fabricator scope how and when will access to the artifacts be allowed? The Owner can make the artifacts available, as needed by the Fabricator. The goal is to not ship the artifacts. General Artifacts Because artifacts may change after bid, will the Owner suggest a mounting "allowance" per exhibit or an overall allowance for the entire project, or would you prefer the Fabricator create an overall project allowance? We would like to see a mounting option price per exhibit. General AV General AV Because the Content Management Player (CMP) system has not been specified/designated, Fabricator will identify an allowance for coordination and integration. Is this acceptable? The CMP system has been specified and is being tested by the Owner. The Owner will purchase. It is produced by Arrow Rez Software in collaboration with Four Winds, both local companies. General AV Do all Owner-provided monitors and touchscreens require a housing of some sort that is to be provided by the Fabricator? This is detailed on a case-by-case basis in the exhibit drawings. General Buy-Outs Is it required that components noted as Fabricator-purchased buyouts from specialty fabricators be purchased from the specific specialty fabricator, or can the Fabricator build its own unit if it is considered of equal or of higher quality? In general, this has already been noted on the drawings or in the exhibit descriptions where that is an acceptable alternative. If fabrication is a less expensive alternative of equal or better quality, we would like that to be clearly noted. General Buy-Outs Has the owner or designer been in contact with the suppliers for the buy-out components? Can a contact list be supplied? We assume all bidders will be supplied with the same pricing for all buy-outs. In thecase of Fabricator scope buyout exhibits, the Fabricator is to supply pricing. General Buy-Outs Is it safe to assume that specialty fabricators of any buyout components that the Owner requires to be purchased by the Fabricator will provide all hardware required for mounting and installing? The drawings should clearly detail whether the Fabricator will need to provide additional mounting beyond what is provided by another party. If not, please provide specific instances. General Buy-Outs Can a list of all buy-outs and who is responsible for purchasing them be provided? In some cases it is unclear based on the Media Treatments and Exhbit Descriptions. Please provide specific examples of where this is unclear. General OFE For Owner-provided items that are supposed to be integrated into Fabricator-provided new construction who will be paying for shipping of these items from Owner to the Fabricator? Wherever practical, we want to minimize shipment. If shipment is ablolutely necessary, plan on the Owner shipping these items. General Safety Does the Owner or the Designer have any specifications/requirements/guidelines related to tethered items, e.g., length of tether, type of tether, tensile strength, etc.? Performance requirements for these items should be indicated on the drawings. If not, we will need specific examples. General Safety For any mechanical interactive elements, how important is it to the design whether we incorporate the drawn mechanisms as opposed to using our own systems? As one example, springs may create pinch points or be weak "links" in a mechanical design. Is it important to the design appearance to retain a spring or can another type of mechanism that achieves the same result be substituted? We are open to the Fabricator providing alternate components, especially if they are safer, but they must provide the long term performance anticipated for the designed element. General Please contact John D. Stephen, CPPO, LEED AP, Senior Buyer at (970) 221-6777 with any questions regarding this addendum. RECEIPT OF THIS ADDENDUM MUST BE ACKNOWLEDGED BY A WRITTEN STATEMENT ENCLOSED WITH THE BID/QUOTE STATING THAT THIS ADDENDUM HAS BEEN RECEIVED. Safety A number of the interactive elements, as currently designed, have numerous potential pinch points yet the Fabricator is charged with eliminating potential pinch points. How will the Owner and Designer determine which pinch points are acceptable and which are not? We recommend that you propose the methods of eliminating these pinch points and we will evaluate on a case-by-case basis. General Reclaimed Wood Are there any guidelines/restrictions with regard to condition, species, source, etc., pertaining to any "reclaimed" wood used throughout the exhibits? Other that in the Natural Areas Program Area (Zone 11), where reclaimed wood is designated as "Beetle Kill Pine", we are looking for the best sustainable solution to match the design aesthetic. General Kickbases Generally, are the kicks on platform bases removable to access the levelers? If yes, does the Owner have a preference for how these kicks are removable? Our preference is a secure mechanical attachment such as a cam lock. For HP-donated hardware provided by Owner when will Fabricator receive delivery of all hardware? Fabricator will require one of each type/model very early in project in order to complete shop drawings. Is there any problem/issue with this early delivery requirement? The Owner will expedite hardware acquisition for each form factor. General AV For all media, who is responsible for software integration? Is there a difference for integration responsibility among Owner-provided software, third-party vendor software and Fabricator-provided software? Is there a difference in these 3 scenarios depending on whether Fabricator is only assisting with installation coordination? The Owner is responsible for owner provided or owner scope items. The Fabricator is only responsible for physical installation coordination and making sure data and electrical wiring is functional for these Owner items. General AV For all media development by Owner, will Designer and Owner designate all required hardware, and should Fabricator include any allowance for undesignated elements? In order to answer this fully, we will need you to give us an example.
