As you have been informed by telephone, your firm has been selected for an oral
interview and product demonstration for our Request for Proposal 7252 Fleet
Management Software.
Your interview will occur on September 9, 2011 at 8:30 AM in the Operation Services
Building B located at 300 Laporte Street in Fort Collins.
For the interview and product demonstration you will have up to three hours for a formal
presentation in response to the requirements of the Request for Proposal. Allow
adequate time to answer questions within the three hour window.
In addition to or as part of your regular product presentation, please be prepared to
demonstrate the following items:
1. An easy to read/run due/overdue pm report -by type of pm pm -a service,
emission inspection, DOT inspection etc- to be sorted by location as well as
domicile if desired.
2. The shop scheduling module - how it looks, how to edit and change which
mechanics are on the list.
3. How on-line scheduling works, how the on-line communications work.
Demonstrate automatic notification processes - when work is done, etc.
4. Does the receiving process allow display of current inventory quantities when
receiving new inventory? Can the system generate obsolete parts reports?
5. Show how the labor is tracked by bar code, touch screen or other method. Can
we use shared terminals? Do the mechanics have to log on each time?
Demonstrate processes performed at the mechanic's terminal. Can a mechanic
log on to multiple terminals at the same time? Will each mechanic's work,
notices, etc. be separate?
6. Is there a way to generate an estimate work order that would not add charges to
the system? For example, a repair estimate for an accident or for a department
to see what a specific repair might cost.
7. We would like to be able to open multiple work orders at one time from one
location. Is that possible? We may want to start an accident work order and keep
it separate from other maintenance work for insurance purposes, for example.
8. The ability to create custom reporting for the National Transportation Database
and Transfort performance plan.
9. The ability to enter in user defined fields to ensure data record keeping (if not
standard within the current application).
10. Reports, as set forth in 7252 Fleet Management Software, Section Q, Specific
Reports and Functionality for Proposal or Demo. Show us as many reports as
you want, but we would like to see these, specifically:
a. Three-year average cost per usage, less accident or damage work orders
b. PM Due and overdue reports
c. Billing report for customers. It's important that billing be by individual
units and that it be exportable in Excel format, among others, and that the
data be in a tabular format easily imported into Access. Demonstrate
how to allocate charges to multiple business units.
11. Show us the Motor Pool module.
12. Be prepared to explain your operational review process, time to implementation,
data conversion timing, training and Go Live. How long will you be onsite for Go
Live?
13. Do you have the capability to prepare a virtual configuration at your offices and
send it to the City for import into our virtual environment? Please provide details
of your virtual server experience. How long have customers been using your
product in a virtual environment?
