Description of RFP 7137: Constituent Relationship Management System
OPENING DATE: 3:00 P.M. (Our Clock) May 13, 2010
To all prospective bidders under the specifications and contract documents described
above, the following changes are hereby made.
CHANGE:
Q: Is there a preference for a Vendor hosted solution or a City hosted solution?
A: No preference
Q: Does the City have a technology preference (.NET, PHP, JAVA, etc.)
A: The City prefers to use technologies which we're currently staffed/skilled to
maintain — this would exclude JAVA.
Q: Is the $60,000 budget expected to cover 1 st year costs only? What about yearly
maintenance or service fees?
A: The $60,000 does not cover post -implementation maintenance or service fees.
Q: Integration was referenced several times in the proposal.
a. Specifically which of the City's existing systems is the CRM system
expected to integrate with (Accela, Azteca, TMA, JDEdwards) and what is
the desired integration? (i.e. intend to push, or pull data from the target
system).
A: As many of our existing systems as possible — we expect bi-
directional live integration
What is the desired integration technology? (i.e. Web Services)
A: It depends — we expect the response to identify the technology
which the vendor believes will be successful, for us
C. The RFP mentions the desire to integrate with the City's IVR. What IVR
Vendor does the City currently have in place?
A: This integration is a third tier requirement; any proposed solution
must be Cisco 7 VolP compatible.
d. The RFP references integration with the City's GIS. What ESRI
applications does the City have currently in place? (i.e. ArcGIS Server
9.3.1)
A: Yes — ArcGIS Server 9.3.1 Enterprise Advanced
e. The RFP mentions that the CRM solution will integrate with the City's
VolP system. Please elaborate on what is desired from this integration.
A: This is mentioned as a possible option to access an IVR related
solution
f. Are integration fees expected to be covered by the $60,000 budget?
A: yes
Q: Has the City seen vendor demonstrations of CRM systems in the past 6 months?
a. If yes — specifically which systems were evaluated?
A: Not applicable.
Q: What is the expected start date of this project?
A: Implementation by the end of 2010
Q: The RFP states "Ability for citizens to easily submit requests (including support
documents and photos) via mobile applications and cell phones, (supports "Eyes
and Ears" function).
a. Please explain what Eyes and Ears function entails.
A: Similar to other public and private utilities 'eyes and ears'
programs; employees in the field can submit requests for
assistance or repair (traffic light out, stalled car at an intersection,
graffiti on sidewalks, etc) via phone, with photos attached
b. Is this intended for an iPhone, or simply a mini browser type technology?
A: If options exist for both, we'd be interested. Otherwise, we're
looking for the vendor to describe their product options.
Q: Is the contract provided in the RFP included as a sample (It appears to be for
Engineering or construction type services)?
a. If the provided contract is expected to be the contracting vehicle can we
identify exceptions to the contract if we have any?
A: Contract specifics can be discussed with Purchasing.
Q: How many potential users?
A: Up to 100+, but number open to negotiation
Q: Are you looking for a windows or browser based system, or does
it matter?
A: prefer web -based
Q: Are you looking for any integration with any social media
applications (e.g. Twitter, Facebook, etc.)?
A: Social media - let us know what the options are.
Q: Do you have existing content for a FAQ section you want
imported into the new system?
A: FAQ info -- we have existing information, let us know the options (import, link to,
etc.)
Q: You mentioned you have an existing system in place - is there
data migration required from your existing system and what is your
existing system?
A: Data migration - we're looking for bi-directional live information sharing.
