Out -of -this -world programming. j Our experience working with the City includes projects using custom content management systems and projects that integrate directly with the City's existing CMS. We are skilled at both approaches. Along with our many other clients, Rocket Jones has done extensive work with the City of Fort Collins and related organizations including, Fort Collins Utilities (the Green Building Web Project), FortZED, the Visitors and Convention Bureau (Adventure Casual), and Beet Street. At Rocket Jones we have many years of experience creating custom content management systems for our clients. From the small simple system to larger complex installations, our solutions focus on ease of use, strong data structures, and expandability. We work closely with our clients to create a CMS that meets the unique, individual needs of the project. At the heart of our CMS system lies our Rocket Core technology which we have been developing for over three years. Rocket Core provides a base to develop a truly custom solution for each project. The choice of how CMS is approached and delivered for this project is very dependent on direct, detailed technical discussion with City IT staff. However, we believe that it is possible for our team to build a system that maximizes the underlying CMS in place at fcgovcom. Our experience working directly with the City's IT/ Web staff on projects positions us well to continue working as an extension of your team to put in place a CMS that is both productive for Utilities staff and supportable by the City IT staff. Deliverables for the Utilities web site include: ■ Detailed timeline, breaking down major milestones into actionable and easy to measure tasks ■ Comprehensive technical creative brief and site map ■ Weekly updates to City Project Team Lead Intranet site We will give the same consideration to the Intranet site. We will develop an understanding of your current infrastructure and the communication needs of Utilities Department employees. Using this insight we can help you assess whether to customize your existing infrastructure or pursue a custom system. Here are some examples of intranet functionality we have created for other customers — ■ secure systems that have included messaging (one way or two way) ■ document management and retrieval (technical documents, white papers, customer data sheets, etc) ■ access to employee information (benefit information, employee guidelines, forms, etc) ■ event listings (general or by groups) ■ internal news and announcements • employee profiles (contact info, photos, birthdays, interests, etc) ■ alerts and reminders '0 ...you name it. If you can envision it, we can help you build it. Some additions ideas you might want to consider — ■ at least three levels of authentication including Administrative Access (full access to the system), Group Leader Access (allows management of content for a specific area/ of the system), and User Level Access (allows employees to access the system based on privileges assigned to them). Users to be granted/denied control access based on individual or group permissions. ■ access configured to allow employee access from home and outside the office. Or, for greater security, access could be limited to only City IP addresses (internal access only). Visual thinkers prefer to actually see what it is you are talking about. Words are wonderful, but images are worth a thousand words. The presentation of the web site graphic design will include two to three large design presentation boards to be revealed at the start of the discussion which support the concepts for each design with suggested color palettes and ideas for images. Technical implementations are most successful when critical or complex functionality is architected and wire -framed. Using the creative brief and approved site map as a road map, Senior Software Architect Jeff Shoemaker will architect a comprehensive, solution -level framework. This framework will carefully balance function, usability, and technology against the — ■ commitments made in the RFP ■ intentions expressed during the Research and Analyze Phases ■ requirements for implementation from Fort Collins City IT technical staff Using the approved site map and a wire -frame format, the planned architecture will be reviewed with the City Project Team, including City IT staff. Deliverables include: ■ Utilities web site graphic design, content for home, main pages, and template for sub -pages ■ Site navigation ■ Wire -frame of critical or complex functionality in the Utilities web site • Weekly updates to City Project Team Lead ROCKET JONES INTERACTIVE page 10 ►Slice design template ►Create CMS foundation ►Build/Review/Refine site ./Launch web site The focus shifts from planning and conceptualizing to making the web site real. We'll begin by building the web site in an environment that is as close as possible to the live site infrastructure. It is preferable [but not required] to conduct development on the Fort Collins City development web server as that will minimize problems during release. Keeping all the parts moving forward during Build depends on highly collaborative interactions among Project Team members. The Project Manager will continue to maintain regular communication and manage the project schedule. However, when there are questions on specific points, our developers may work directly with the client — keeping communication efficient and effective. Generally, review by the client occurs at each major release after Rocket Jones has completed their testing. At key points in the development, the client may be asked to review and comment on our progress. During this phase we will leverage tools like our customized, web -based project management system to organize, orchestrate and implement your web sites. We are true believers that the devil is in the details. Following a step-by-step process helps ensure projects are delivered on -time and on -budget. Access to our password -protected project management tool is available; however, it will not replace weekly project updates. Upon final approval, the web site is prepared following the requirements and direction of the Fort Collins City IT staff. Once delivered for implementation we remain in close contact with the Project ' Team and IT staff to support a smooth launch. The project manager works closely with the client and the development team to ensure major milestones are being achieved on schedule. ROCKET JONES INTERACTIVE page 11 Site Architecting From site -maps to wire -frames, we map out the process much like a builder creates blueprints. From there you, the client, know what we intend to build and have the opportunity to give feedback into that process. This allows our team to build to a specification and gives you the comfort that we are building exactly what you need. Subversion (source code version control) All of our code for a project of this scope would be managed through version control systems allowing our team to develop faster without fear of collisions, overwrites, or duplicated effort. Versioning and roll -back offers you, the client, confidence that a change to the code won't cause an outage or lost code. D.R.Y (don't repeat yourself) We strive to make our code clear and clean. One way, programatically speaking, to do this is to abstract common functionality into libraries and templates. This reduces the number of opportunities for bugs or oversights within the code. It gives the customer, as well as the end users, a sense of uniformity as things act in a homogenous way across the site. Test -Driven Development All our developers begin (when applicable) by writing test -cases first and and then writing code that passes those tests. This method allows us to create software that is more reliable, contains fewer bugs, and delivers on -time. It offers our clients the peace of mind that a change made today won't break code that was working yesterday. Test-driven development actually helps reduce development times and overall costs and bugs are found quickly and remedied almost immediately in most cases. Final Quality Assurance Testing Prior to our code being handed over to you, we perform thorough Q.A. testing to ensure that the project meets the scope, contains no obvious bugs, and that the site functions seamlessly. This is handled by code reviews, peer testing, and testing by non -technical staff. Bug Tracking As the bulk of the project has been built, and Q.A. testing has begun we are adding any and all "bugs", as well as uncompleted features into our bug database. Our team will work through any and all bugs, providing a system that is thoughtfully architected, rigorously built, throughly tested, and confidently deployed. Deliverables include: ■ Utilities web site ready to launch with content on home and main pages, remaining pages will be ready to load with content using the CMS ■ Training for City staff members who will be responsible for loading the content initially ■ Once content is loaded by City staff, the Utilities web site will go live ■ Weekly updates to City Project Team Lead ROCKET JONES INTERACTIVE page 12 Support ►Training ►Support installation ►Respond to requests for new features or functionality ✓Stable installation ✓Help on request Following the successful launch of your web site, Rocket Jones includes in the project support for three months after launch. After this project is complete, Rocket Jones will continue to be your partner. We will be available to promptly answer questions and discuss new, enhanced functionality. - Support and additional graphic elements are available at our hourly rate; however, typically clients who implement CMS find they do not need our services to maintain and update content.3. With her first "real job" as an advertising typesetter, Dawn developed her passion for the printed word and attention to detail. Before moving to Colorado, Dawn worked with some of the largest advertising agencies in Minneapolis, including Carmichael Lynch and McElligott, Wright, Morrison, White. Yet it is her experience with some of the smaller agencies in town that helped her focus her attentions on design as a marketing strategy. In 25 years as a graphic designer and marketing professional, Dawn has created award -winning designs and compelling, effective marketing campaigns. Tom Campbell, Chief Creative Officer and Funkmeister General Sitting in front of the television watching an episode of Bosom Buddies, a young Tom Campbell realized his purpose in life. Tom's true passion is for marketing —magic marker comps, story boards, pitching a new client on a crazy, brilliant idea that will excite the masses and move lots of product. Tom hones his chops and learned from the masters at the Tyler School of Art in Philadelphia. In 1996 Tom moved to Colorado on a lick and a promise and perfected his craft designing everything from packaging for talking Bible phones to logos for puppeteers. At Toolbox, Tom keeps the joint rocking and the inspiration flowing. Wendy Brookshire, Senior Designer Born and raised in Laporte, Colorado, Wendy is an award -winning graduate of Metro State College in Denver, where she wowed her professors and peers with her creativity, attention to detail and passion for Jamba Juice. After stints in Southern and Northern California, Wendy realized Colorado was the place for her. The MacGyver of the team, Wendy is always coming up with solutions that no one else would think of and executing them flawlessly. Matt Kistler, Web Designer Matt entered this world with the nurturing back -drop of nuclear warheads and missile silos. Raised as an Airforce brat, Matt wandered the country, reminiscent of the Incredible Hulk. Matt's nomadic lifestyle came to an end upon his arrival to Fort Collins, where he began interning at Toolbox, while attending Colorado State University. Matt graduated in May of 2006 and has been rocking out at Toolbox ever since. This Site Map serves as an overall view of the site content and allows returning visitors to quickly navigate to specific site pages. We will dig deep, do our homework and work with you to determine the graphic design and overall technical architecture that most accurately reaches in and grabs the Fort Collins' citizens and site visitors attention.
