Karen,
See attached written proposal Evaluation Summary. Since there is a unanimous number one, Jim might let us
proceed without interviews, with your approval and no issues with SHF. However, since RFP document did not
state that "City reserves the right to select a vendor for this project on the basis of written proposals submitted
only." could force evaluation team to interview top three. Please review and let me know how you would like to
proceed before I discuss with Jim.

David - They are in interoffice mail. But, when you get the chance, could you please give me a call? There is a
question I have about them that I would like to talk with you about. Thanks - Karen

Thanks so much, David! The next step for the state is for me to tell them we have selected a contractor, and
who that firm is, and ask for their approval. Typically, we only need to send the list of firms that bid. I'll get a
letter off to the state ASAP. - Karen

FYI. What are next steps with CSHF?
>>> Jim O'Neill 2/28/2008 4:32 PM >>>
Go ahead and award on written. Jim
>>> David Carey 02/28/2008 4:11 PM >>>
No. Karen said the CSHF grant is for $50,000, which was also not stated in RFP document. Historitecture (Estes
Park) proposed cost is $50,000, SWCA (Broomfield)-$53,554, and Cultural Resource Analysts (Kentucky based
with Longmont office)-$71,988.19
>>> Jim O'Neill 2/28/2008 4:04 PM >>>
Did we say we could pick from written? Also how much is it? If so I'm ok.
>>> David Carey 02/28/2008 4:02 PM >>>
Jim,
Are you okay with this? Please see attached Evaluation Summary and advise.
Thanks,
David
>>> Karen McWilliams 2/28/2008 3:57 PM >>>
Thanks, David. If at all possible, please, please lets just select the top firm, and skip the interviews. I know
that Historitecture is on the State Historic Fund of approved firms, so there should be absolutely no issues with
state approval. Their only concern will be that we do not sign a contract to begin the work, prior to having the
signed contract with the state.
