City of Fort Collins Custodial Services RFP 2004 Thank you for coming today and participating in our Custodial Services RFP process for 2004. In these difficult economic times we have seen a reduction in the City of Fort Collins sales tax revenue. Although we have maintained our incentive based quality contract for 2004, as a cost cutting measure we did reduce some of the services. A quality based cleaning contract allows the vendor to set up frequencies and procedures they deem appropriate to maintaining a high level of cleaning without the constraints of imposed task frequencies. In other words you decide how to maintain our buildings. We let you know our expectations and look at the results. Our intent at this preconference is to provide you with a realistic picture of our cleaning needs. We have prepared many pieces of information to assist you in preparing a well thought out proposal that can be workable with your company and the City. Each building varies in size from being just 312 SF of space for the Downtown Rest rooms to almost 60,000 SF of office space at 215 Mason. The locations are all over the City from Trilby road in the south part of town to the Fleet Maint. Shop up North off Vine St, PFA Training up against the foothills to the West and Water Reclamation off Drake Rd to the East. Frequency varies as some buildings are cleaned 7-14 times a week all the way down to once a week. With our need to cut back on costs this year we have changed to task frequency in the offices and a few other things within a building that has quality based cleaning. We have indicated on the bottom of the Building Statistic sheets if the cleaning has decreased at all from full service. We have a wide variety building usages —some are- Cemetery and Fleet shops, Water Labs, Firing range, our Farm, EPIC ice and swimming facility and office buildings. We have Recreation buildings that are used 20 hours a day by a thousand people to an Office building with only 2 people cleaned 3x a week. Water treatment must be cleaned in the daytime because of the terrorist threats and the Senior Center that must be cleaned after 10PM, 7 nights a week with some areas after midnight. Some are occupied 24/7 like the Police while vaults and labs are cleaned monthly with a Police person present. We have alarms, access fobs, callins at gates, gate codes, building door codes, panic bars and keys for you to contend with. There are mandatory police checks for all your employees, process delays and City ID's that must be obtained and wom before they can work in any building. You have travel time, vehicle expense, other related costs. Spread out supervision and the need for extra training and cross train of your staff to provide uninterrupted service, are just more of the challenges.
