Section 1.0:Bid Requirements 1.1 General Description Coca-Cola has the ability and desire to become the exclusive beverage supplier by supplying the following equipment and products - City Park 1 PowerAde Sports Drink Vendor - 20oz.bottles 1 Dasani Water Vendor - 20oz. bottles 2 Coca-Cola Soft Drink Vendors - 20oz. Bottles Eldora Park 2 PowerAde Sports Drink Vendor - 20oz.bottles 2 Dasani Water Vendor - 20oz. bottles 2 Coca-Cola Soft Drink Vendors - 20oz. bottles Rolland Moore Park 2 PowerAde Sports Drink Vendor - 20oz.bottles 2 Dasani Water Vendor - 20oz. bottles 4 Coca-Cola Soft Drink Vendors - 20oz. Maid Grape Nestea Cool Nestea Peach Nestea Rasperry Caffine Free Diet Coke Artic Shatter 120oz FRUITOPIA• Beachside Blast Berry Lemon Fruit Integration K/wiberry Strawberry Passion Citrus Excursion MM Lemonade MM Fruit punch 20oz DASANI WATER (24 per) Section 2.0: Scope of Work 2.1 Back round Coca-Cola has the ability to place the necessary equipment, and service all three locations with a lead time of two weeks. Coca-Cola has researched the City of Fort Collins' last two concessions agreements and has determined the following: +The combined beverage volume from all three locations will be approximately 800 cases +80% of the total volume will come from Rolland Moore Park +40 to 45% of the previous volume was from PowerAde sales +Venders were set at a $1.00 vend rate Based on this history Coca-Cola will provide equipment with dollar bill validators, and will additionally supply one change machine for the Rolland Moore location. This machine will be installed to enable access by the disabled and children. This additional expense will be absorbed by Coca-Cola Bottling of Greeley. Installation of equipment, general upkeep, and repair service will all be done at no cost to the City of Fort Collins. Malfunctioning equipment will be repaired within 24 hour from receipt of the service call. Equipment that can not be repaired, will be replaced. No additional equipment equipment will be installed or removed without the prior approval of the authorized City Representative. Necessary information regarding refund procedure and/or service will be prominently displayed on the front of each vendor. Service (product delivery) of equipment will take place by one of the following two options: OPTION 1 Drop ship delivery of product - Coca-Cola will delivery products directly to the designated location to be utilized by the designated City Representative for the filling of vendors. All products are on a 48 hour delivery and orders may be placed by calling a toll free number. The City of Fort Collins will receive a monthly statement and will be expected to pay net 15 days. All products previously listed will be $14.20 per case (24) until December 2002. At that point, Coca-Cola reserves the right to pass on any cost of goods increases, and will notify the City of Fort Collins of such adjustments thirty day prior. Section 2.0: Scope of Work 2.1 Bac round continued OPTION 2 Full Service Vending - Coca-Cola will provide professional, uniformed personnel to fill vending machines in a timely manner. Full Service Vending consists of the following: SERVICE -All stocking of equipment •Installation of current state of the art equipment -Space to sales allocation of brands -All drivers are equipped with paging device for immediate response ACCOUNTABILITY -Sales tracking systems (see monthly reporting as reported to customer below) -Random machine auditing -Secured locking system Coca-Cola will pay 45% commission on cash collected less applicable tax. Commission check will be paid monthly, and will be accompanied by a statement reflecting sales by vendor. Eauiament Electrical Requirements: Vending Machines: 10-15 Amps start up 4-10 Amps running All manufacturers recommend no extension cords. Denver fire code: Maximum length extension cord 10 ft. Approximate Energy consumption: These usages are based on normal usage. Actual results will vary depending on operating conditions and through put volume. Air-conditioned environment: 9-10 KWH per day Hot (90-95 degrees F) 14-15 KWH per day The size of the cabinet will affect usage. Larger sizes will tend toward the higher ratings. In an air-conditioned environment, the compressor will run between 35-38% of the day. There is a circulating fan inside the cabinet which runs whenever the vendor is plugged in. Lighting reflects approximately 35% of the energy consumed. (3-3.5 K)WH) How many service calls should you expect? The average vending machine will require 2-2.5 service calls per year. This number goes up significantly in Education or Athletic areas to 4-8 calls per vender per year. How do you get a service call generated? The service phone number for is 800-891-5710. When you call this number, keep in mind that we do not know your accounts like you know them, so we may require more information to make sure we repair the correct piece of equipment. The information we need is: •Account Name *Address (not cross streets) *Phone Number *Contact at location *Asset Number (very helpful especially if there is more than 1 machine at the account) •Location of the Asset *Problem (the more specific, the better chance we have to correct it the first time) Section 3.0: Response Requirements 3.1 Re uirements (con't.) B. Chanee Machine Coca-Cola will purchase one additional change machine for use at Rolland Moore Park. Since Coke does not normally handle such equipment, it will be necessary for the City of Fort Collins to provide necessary service and change to maintain this equipment. C. Vendor Restockine Based on information provided by past bid recipients, Coca-Cola will schedule Full Service deliveries on Monday, Wednesday, and Friday's. Ron Shultz, a Coca-Cola Full Service driver for 2 years, will be responsible for the daily full service deliveries made to the City of Fort Collins. Ron's pager number is 877-893-3968. Drop ship deliveries for vending, if you so choose this option, will be delivered within 48 hours on all calls placed prior to 2:OOpm Monday through Friday. Saturday deliveries are not currently available for sideload orders. An order form would be provided to the designated City Representative for ease of ordering. Orders can be placed by calling Barb Dill at 800-984-6864. In emergency situations a representative can be reached by calling the Hotline or paging the Fort Collins sales representative, Nicky Davis at 877-893-3967. All Products to be vended at $1.00 B. The City of Fort Collins will receive 45% of cash collected less applicable tax.
