C. Description of experience: As noted on my resume, I have spent 15 years
fundraising with a wide range of non-profit organizations —including museums This
experience includes managing comprehensive development programs, campaign design and
implementation, and preparing grant proposals on behalf of non-profit organizations As
Principal for GreyCastle Associates, I conduct the fundraising process on behalf of each
client, which includes interactions with sponsors (corporate, foundation, government, and
individuals) in addition to researching, writing, packaging, creating database tracking
systems (if applicable), and submitting proposals I interact with clients as to the design
of fundraising strategies, tracking systems, strategic plans, grant writing techniques,
coaching, and volunteer management I conceptualize projects, facilitate discussions with
sponsors, and facilitate annual meeting and strategic planning sessions for clients My
lifetime proposal acceptance rate is 50-60% In 1999, GreyCastle raised more than S2 0
million for its clients
Previous experience includes Director of Corporate and Foundation Relations at
Colorado School of Mines Foundation At Mines, I was one of three senior managers
responsible for the development team and responsible for managing all corporate and
foundation activities At Mines, our area presented $1 OM in requests to sponsors,
doubled the previous year's totals, and raised $3 million in six months Prior to that I was
Director of Development for the College of Sciences at Washington State University, in
which my domain included several college museums (i e zoology, botany) Here, I
oversaw a comprehensive development and alumni relations program In addition to
alumni and donor relations, my program encompassed major gifts (including estate or
"planned" gifts), annual giving, corporate and foundation relations, stewardship, media
relations, and prospect research During WSU's first major fundraising campaign,
Campaign WSU, I guided the $20 million campaign strategy for the College of Sciences
Request for Proposal, No P-767—Page 2
While at WSU,'I helped triple fundraising totals from $1 2 million to $4 5 million over
three years
My experiences have all involved "start up" activities for which I conceptualized and
built programs from the ground up At the Arizona Humanities Council in Phoenix, AZ, I
developed the first organizational campaign plan, while at WSU, I created a brand new
program for the College of Sciences Also at the Arizona Humanities Council, I more than
doubled the donor base, quadrupled the goal in nine months, and participated in
grantmakmg at board meetings
Of the hundreds of proposals I have written during the last five years, I will outline four
different proposals —one for each type of sponsor —government, foundation, corporate,
and individual My role in preparing these proposals was as follows I interview the
project staff and educate myself about the project and organization 1 then generate a draft
for review by project staff We make any adjustments or edits and 1 submit the proposal
on behalf of the agency As we go through this process, I discuss project options with
funders (when appropriate), gam feedback, and work with staff to conduct site visits (if
possible) Examples of grants received include

Foundation

Corporate

the largest corporate grant ever received, however, REI is
one of the most competitive funders from whom to
receive a grant)
Individual
100,000
awarded from the Grant Family to help construct an
amphitheater in Clement Park, Littleton, CO
Specifically, grants are used for
• obtaining funding for projects or operations,
• facilitating interactions with donors and build relationships,
• providing a connective link between campaigns,
• articulating the mission, vision, and goals of an organization,
• establishing (or forcing) collaborative relationships with complementary groups,
• allowing for follow up for all areas of development —even phonathons,
Request for Proposal, No P-767—Page 3
• allowing for donor input into the project or organization,
• gaming visibility with sponsors,
• measuring internal activity levels for the organization,
• involving board members in the fundraising and editing process, and
• educating the public and private sectors
Grant writing is a critical element for any fundraising, and public awareness program The
greatest value in generating proposals is to articulate a vision for your organizational
leaders and the community you serve Proposals provide concise, cohesive, written text
that forms the basis for other documentation such as future proposals, strategic plans,
media features, and concept letters GreyCastle grant writing services —coordinated with
museum staff —accomplishes the following
■ An agreed upon, guaranteed number of proposals submitted to qualified
prospects
• On -site consultation, program analysis, and needs assessment
• Written identification and clanfication of your objectives and how these
dovetail with sponsor interests
• Enhanced visibility through increased numbers of submissions (many
proposals are rejected simply because the hinder is not faimliar with an
organization)
■ Linkages to corporate and foundation representatives who may continue to
be resources in the future
■ Focused interaction and follow-up with sponsors that will help bring
proposals to closure
• Generation of proposal text that can form the basis of future requests
• Instruction/traming and demonstration of successful strategies in gaming
proposal acceptance
■ Approaches to often overlooked grant making charities
d. Resources that would be provided from the museum include:
• stationary/letterhead,
■ clerical supplies (when needed) such as museum envelopes,
• reimbursement for copies made for large submissions (i a some funders
require ten copies of a twenty -page proposal and the volume is so high we
need to go to a copy place that can process larger volumes of paper),
■ reimbursement for postage or Federal Express expenses, and
■ unusual travel expenses or mileage
Other resources, include editing time from the project director or museum director and
meeting time to discuss proposal strategy To be successful, we would also need board
involvement (i e' at site visits or to help make introductions to potential prospects) as
needed

f. Pricing approach: GreyCastle's professional rate is based on a multi -proposal
contract at $1,000 per proposal plus expenses A needs assessment determines what
number of proposals are needed to reach your financial goals A minimum of twenty-four
proposal per year would initiate a cost-effective, comprehensive grants program for the
Fort Collins Museum
g. Time spent on project: Expected time spent on museum fundraising for the next
year would average 20 hours per month over the course of the year, with more time being
spent on the front-end of the contract due to the leanung curve and strategy development

Dear Mr O'Neill
I am writing to recommend the services of Sharon Chapin at GreyCastle Associates I
have known Sharon professionally for ten years We have worked closely together in
several projects and she is currently under contract at The Hope Heart Institute in
Seattle, where I am Campaign Director
Sharon has a strong ability to internalize organizational projects --many of a highly
technical nature' -and to present these program components and concepts in clear,
understandable writing She is also able to generate proposal language fast, which is
important when we are under deadline In addition to submitting proposals to
foundations, we also have a base of corporate and government supporters from whom
we are requesting projects funds Sharon is very adept at presenting projects in a way
that matches the wide range of (under interests, their accompanying organizational
structure, and the language they use in evaluating our proposals
I can be reached at 206-903-2013 if you have questions or comments Thank you.
Sincerely,

Dear Mr O'Neill
Please accept this letter as a reference for the grant writing services of Sharon Chapin and
GreyCastle Associates. I was formerly employed as Cultural Arts Specialist at the City of
Lakewood in 1997 when we were beginning to fundraise for the amphitheater at Lakewood's
Heritage Center I worked closely with Sharon in preparing this proposal In our very first
grant request to the Bonfil&-Stanton Foundation, we were awarded the total funds needed to
construct the amphitheater (some additions were later added and applied for through a later
request preparedlby Debbie Ellerman)
Through the process, I found working with Sharon to be efficient and stress -free We met,
discussed the project, and she came away with the information needed to write a draft of the
proposal After we revised the draft with a few minor changes, she accompanied me and our
area administrator to the foundation offices to discuss the proposal This process resulted in a
lead gift from Bonfils-Stanton which in turn inspired other funders to assist with the overall
project
As Executive Director of the Morrison Theatre Company (MTC), I have continued to work
with Sharon on community programming, education, and outreach She has helped create a
new focus for foundation support not previously in place at MTC.
Please contact me at 303-935-3044 if you have questions.
Sincerely,
