RE: Telephone/Mail Order Credit Card Policy
We recently experienced a credit card fraud at SouthRidge as a result of a
telephone sales order. To the best of my knowledge this is the second time
we have been burned on this type of scam. I have been informed by Pam at
the bank that if we (City locations) accept mail order or telephone orders
without a signature by the buyer on the sales draft, we (City) are held to
be responsible if there is a fraud, even if we get an authorization number.
In this particular case, a man calling from Long Beach, California, gave
his credit card number to us to buy a set of golf clubs to be shipped over-
night. Pro Shop staff called for an authorization number and got it, then
shipped the clubs the next day. A day or two later we were informed that
the credit card or the numbers on the card had been stolen from a man in
Tennessee, and that he stopped payments, etc. We now have to eat the loss.
Therefore, I feel it is appropriate to issue the following policy statement:
"City Golf Courses may not accept mail order or telephone order sales using
our City credit card system without a sales draft signed by the card holder,
even if an authorization number has been received."
I assume that this could cause an inconvience to some. I'd suggest that we
tell folks that we can't take credit card numbers over the telephone, but,
if someone wants some merchandise shipped, that we need a certified check or
money order in hand before we will ship. As usual, folks can call me if
they want to complain.
