Addendum to 13id # 6003 Mailing Services
Duncan Business Services, hic. will ensure prompt pick-up and daily processing of the city's
mail pieces by establishing a direct., contract route with a reputable, local courier service who
will make pick-ups and deliveries of the pieces on a regular schedule. In the event we are not
able to establish a regular route with a local courier service, Duncan Business Services, Inc. will
provide such Courier services utilizing our company vehicle and staff.
Duncan Business Services. Inc. can accomplish co -mingling of the city's mail through a. presort
bureau in order to achieve a lower postage rate on those pieces which do not meet minimum
mailing requirements in terms of quantity, and for other mailings where it is deemed desirable.
The city should be aware that not all levels of presort that are currently available will be possible
fiollowing the LISPS Rate Case Currently before the Postal Board ofG jovernors and expected to
be implemented in May of-2007. ']'his rate case will allect both the amount ol'postage and the
classification and preparation of various classes of mail. Our bid is -,ubmitted with the caveat
that future postage and mail preparation following the implementation of the rate case may need
to be re -negotiated in order to comply with the (.'SPS requirements for automation mailings.
Prices marked with "" represent our bid prices for mailings required metered postage, such
postage to be pre -paid by the city into a postage retainer account consisting of 30 days of
estimated postage for city mailings against which all metered postage for the city mailings will
be drawn. A regular accounting of postage account activity will be provided based on a mutually
agreed -upon tirriefrarne.
If Duncan Business Service,,; Inc, must supply the postage and in -voice for reimbursement, our
prices for those items marked with an "**' will be $641"N11.
Many of our ongoing niontlik clients provide a postage retainer against which all their postage is
drawn. When postage reaches a pre -agreed level, the client is notified and the postage retainer
account is replenished by the client, We Icel this is a much more equitable Nvay of handling
postage for large, ongoing accounts,
Z:>
Postage estimates for additional mailings are based on --worst-Case" postage of,23) I per piece.
Actual, presorted standard postage will likely be lwver. First class estimated postage will be
supplied it'requested
