Re: Scheduling a P & Z Board hearing for annexations
January 13, 1999
All annexations must have a public hearing held by the P&Z Board so that they can make a
recommendation to the City Council, who ultimately makes the decision to annex. P&Z Board hearings
are scheduled the 15` and P Thursdays of every month at 6:30pm in the City Council chambers.
For an annexation item to be put on the agenda for a P & Z Board hearing, it must be discussed at the P&Z
Board worksession which is always held on the Friday before the Wednesday hearing.
For an item to put on the agenda for a worksession, the project planner needs to submit a staff report for
the project by the Friday 2 weeks prior to the worksession.
I will need the items that I requested from you (on my January 8t' comment letter) in order to write the staff
report. If you get the required items to me on Thursday, the day before my staff report is due, it will give
me time to write the staff report.
To make a long story short, I need the requested items 3 weeks prior to the hearing date. To schedule the
March 4 hearing, I'll need the requested items by February 11`s, or for the March 18ffi hearing, I'll need the
items by February 26 h.
We'll tentatively plan on the March 4 b hearing date, and as we get closer to February I lt", you can let me
know whether or not you think that date is feasible. If not, we'll just keep pushing it back one more
meeting until you can get me the items.
I'm also faxing you a P&Z Board hearing schedule, a description of the submittal requirements, and a
submittal checksheet for your information.
