Fort Collins Museum MEMBERS PRESENT: Karen Warren, Jennifer Kathryn Stubler, Craig Swing Deborah Romero MEMBERS ABSENT: Bill Cordiner, Jane Nevrivy STAFF: Mark Breimhorst, Joy David Siever STAFF LIAISON: David Siever COUNCIL LIAISON: David Edwards AGENDA I. Call to order (5:40) - Karen Warren Sterling, Poole, II. Consideration of Agenda - No changes The Mini -Theatre Booking process was moved to item #IV; Fort Fund Guidelines was moved to item #V. III. Consideration of minutes of March 24, 1993 Kathryn Stubler moved acceptance Craig Swing seconded Passed unanimously IV. Appreciation to former board members Bill Kneeland, Alison White Board members and staff held a small reception to thank Bill Kneeland and Alison White for their contributions during the time they served on the Board. V. Mini -Theatre Booking Process Discussion David Siever presented a brief overview of the situation. Essentially the problem is one of growth. There aren't enough week -ends to 417 Magnolia Street • Fort Collins, CO 80521-2646 • (303) 221-6735 • FAX (303) 484-0424 accommodate all of the groups who request dates in the Mini -Theatre. The process has been that established customers are asked to send their requests for scheduling of the following season to the Center. There are usually many conflicting dates which are then worked out with the groups. However, next season there aren't enough weekends available. Priority has been given to established customers. New groups are worked into the Mini - theatre if a group with an established season reduces the number of weeks they have used in the past. Lee Osterhout, director of Debut Theatre, has asked the Center to change the process and reduce the number of weekends established customers had the previous season to accommodate new groups. As this is an ongoing problem and one which is likely to continue, staff felt it would be good to discuss it with the Board. Several suggestions were discussed including: - A lottery of dates - Reduction of dates for established customers - First come, first served - Keeping process as it currently exists Consensus was that given the fact the problem isn't likely to disappear, the Center needs to have some written guidelines. Staff will contact other theaters to see if they have similar problems and how they have handled it, and it will be discussed at a future Board meeting. VI. Fort Fund Guidelines Craig Swing moved to table to April meeting. Kathryn Stubler seconded Passed unanimously Copies of the guidelines will be mailed to Board members prior to the April meeting. VII. Staff Reports Lincoln Center - David Siever (See attached) Fort Collins Museum - Joy Poole (See attached) VIII. Committee Reports Convention/Visitors Bureau - Craig Swing is no longer able to attend meetings and thinks that it is important that the Board have a liaison to the CVB. Jennifer Sterling moved that the Board relook the liaison appointments at the next meeting. Kathryn Stubler seconded Passed unanimously Lincoln Center Board - No Report Museum Sub -committee - No Report IX. Cultural Policy/Plan follow-up discussion Discussion was held as to follow-up on the Cultural Policy/Work Plan. Staff will bring possible work plan items for future implementation to the May meeting. The Board will discuss the Cultural Plan at the April meeting. X. Challenge Fort Collins Update The focus of Challenge Fort Collins will now be on the nine focus areas. Each area will have a separate task force made up of interested members of the community. The Board would like to have a member be a part of the Riverwalk task force. Bruce Hendee will be contacted and at the April meeting a liaison will be appointed. XI. Other Business None XII. Museum Renovation Tour XIII. We are in the process of seeking a replacement. LINCOLN CENTER SUPPORT LEAGUE The Support League will spend approximately $7,906 over the next two months. $1,000 Ninth Grade performance of Inspecting Carol 806 Terrace Landscaping 4,000 Underwriting of summer Terrace concerts 2,100 Indoor plant maintenance VISUAL ARTS Poudre Valley Art League show will open April 16th. This year $5,000 in cash awards will be presented. The juror will hold a lecture/demo in the Mini -Theatre. SPECIAL EVENTS April 30th is the special performance of "Inspecting Carol" for ninth grade students. COLLINS MUSEUM REPORT CULTURAL RESOURCES BOARD MARCH 23, 1992 STAFF The staff has been engaged in re -writing the volunteer training manuals for the docents, and the museum shop. A dozen people have been recruited for the sales clerk volunteer positions. Agnes Dix has been conducting Volunteer Training and concentrating on docents. The staff has been compiling information to identify and measure customer services each work area provides as part of the city quality improvement endeavor. These will be incorporated into the staff s individual work goals. PHYSICAL FACILITY The changing exhibits gallery for the museum is complete. Staff offices and the museum shop are receiving their finishing touches. Staff will be moving back into their offices the week of March 28th. Museum Storage Another chronic problem has re -surfaced. The museum must find 5,000 sq. ft. of permanent storage for its oversized collections and exhibit furniture. The Power Plant property has been leased to CSU and the current museum storage building on this property will be demolished in 1994. This is the museum's official cry for HELP in solving this persistent dilemma. Any feasible suggestions will be considered. PROGRAMS The GRAND OPENING is planned for April 16th - 5:30 - 7:30 p.m.. Approximately 750 people will be invited to preview the $60,000 remodel and browse in The Museum Shop at Library Park. Funds have been requested from Convention and Visitor's Bureau for publicity on this event.
