BOARD MEMBERS: Virginia Ward, Chairperson Jerome Roselle Sharon Conley Anne Ostrye-Macdonald Karen A. Dornseif Fay Rhoadarmer Madeleine Wawro PRESENT: LIBRARY BOARD -- Virginia Ward, Sharon Conley, Anne Ostrty-Macdonald, Karen Dornseif, Fay Rhoadarmer, Madeleine Wawro STAFF -- Jane Davis, Robert Holzfaster The meeting was called to order by the Chairperson, Virginia Ward at 7:05 p.m. The minutes of the July meeting were approved as distributed. A corrected telephone list was also distributed. �`- REPORTS Jane Davis, Library Director, reported that July circulation of library materials had gone over 90,000 for the first time in the library's history. The library staff checked out 93,478 items. This is a 9.8% increase, year-to-date, over 1990. She also reported that 4994 children had signed up for the summer reading program. The total will go over 5000 for the first time. Staff will have final numbers in September. Ms. Davis reported that the library, and several other city departments, were sponsoring an environmental fair in Library Park and the Delatour Room on Saturday, September 21. Environmental topics of the booths, exhibits, and videos will include recycling, energy conservation, air quality, erosion control, xeriscape, water conservation, tree planting, hazardous waste, hazardous materials management, and others. Ms. Davis reported she had met with Virgil Taylor, Park Superintendent, and Tim Buchanan, City Forester about park lighting. The forestry crew will trim trees in library park in the fall to eliminate, where possible, limbs blocking existing lights. The three will walk the park after dark to decide on placement of new lights and replacement of fixtures on the tops of at least some of the existing light poles. Ms. Davis reported that the three drop boxes in south Fort Collins were very popular. Board members suggested that they be more clearly marked - perhaps with signs over the drops. Library staff will look into this. They also asked Ms. Davis to put together a short written report on drop use for the Board and Council. Sharon Conley, Board representative on the Library Fund Advisory Committee, reported that the committee would meet in September to make plans for mailing the brochures describing the fund and how donations could be made. OLD BUSINESS The 1992 proposed city budget has gone to the printer and will be distributed to the Council in August. At this time Ms. Davis had no further information on dates for budget worksessions. Costs for the southside branch and processing center will go to the Council as a supplemental package. Ms. Davis distributed copies of two articles on measuring the quality of library service. She also distributed copies of material she had put together documenting upgrades in media service and the adult paperback collection since 1988. Board asked Ms. Davis to forward the statistical information to Mike Powers, Cultural, Library and Recreational Services Director for the City. NEW BUSINESS The Board went°over their by-laws, last up -dated in 1987, making changes to reflect the fact that there are now no alternate members. Several changes needed to be made. Ms Davis will check the City Code to make sure the duties are stated the same in both places and check with the City Clerk's office to see if there are any changes in the open meeting provisions. Fay Rhoadarmer will work with Ms. Davis to bring a completed draft to be voted on at the September meeting. The revised by-laws will then be sent to the City Clerk to be filed with copies to the City Council. Virginia Ward was re-elected Chairperson for the current Board year.
