Following the meeting, at 4:00 p.m., the Board held a Fort Fund Grant Session. The following members were present: Marilyn Barnes, Ayleen Bums, Loren Hooper, Jack Steele, Jennifer Sterling Beccard, Jon Wilkinson, and Ann Wilmsen Board Members Absent: None Staff Members Present: David Siever, Lincoln Center Libby Colbert, Lincoln Center Guests: None I. Call to Order — (3:33 p.m.) Ayleen Bums II. Consideration of agenda - No Changes III. Consideration of Minutes of March 27, 2003 — The Board asked staff to make three minor corrections to the minutes of March 27, 2003 in addition to one substantial change to the section regarding Umbrella Organizations. Motion to accept minutes as amended — Jennifer Sterling Beccard Second — Loren Hooper Passed Unanimously IV. Review of Memo to City Manager re: City Budget — The Board reviewed a letter to the City Manger regarding the City Budget. Motion to approve memo — Loren Hooper Second -Jack Steele Passed unanimously V. Review of April Fort Fund Process — Ayleen Burns led the Board in a review of the Fort Fund 417 West Magnolia • Fort Collins, CO 80521-2646 • (970) 221-6735 FAX (970) 484-0424 FORT FUND PRESENTATIONS From 4:05 p.m. to 6:35 p.m., the Board heard presentations from organizations applying for support from Tier 1 (Annual Programming Support) of Fort Fund (see attached recommendations). Jennifer Sterling Beccard moved to fund $93,200 from Fund #1 and $12,000 from Fund #2 based on the scores of each application/presentation. Loren seconded the motion Passed Unanimously VI. Colorado Committee For The Arts Business Award Nomination Process — Jennifer Sterling Beccard and Ann Wilmsen have contacted members of the arts community regarding Gary and Carol Ann Hixon's involvement in the arts. The Board will send letters to the members of the community requesting letters of recommendation for the nomination. Letters are to go out June 1s`. Included with the letter will be a sample letter to be returned. The Board discussed inviting Gary and Carol Ann to the May meeting to inform them of the nomination. VII. Arts Alive Liaison — Ann Wilmsen spoke with Jim Franzen of Arts Alive about Arts Alive and CRB working closely together. Ann volunteered to be the liaison from CRB to Arts Alive. VIII. Review of Fort Fund Events — New Visions Dance Festival — Jennifer Sterling Beccard — reported a great show, but low attendance. The storm may have interfered with marketing efforts. NCAA Art Show — Loren Hooper — Great attendance, very well done, banner was visible. IX. Committee Reports/Event Updates - Museum — Jack Steele — commented on how well staff was operating with limited resources. He attended a retreat where the main topic was to develop a work plan for MAC. Jack also mentioned wanting to address the "State of the Arts" document and consider revising or updating it. Staff will add this to the July meeting agenda. CVB —No report Art in Public Places — meeting cancelled X. Other Business- None XI. The four artists will display paintings, sculpture and installational work. The paintings of Brad Jeske will be featured in the Walkway Gallery. Work from the Colorado Printmakers will be on exhibit in the Lobby Gallery. Fourteen members will have work on display. ART IN PUBLIC PLACES: Elevator Doors APP project has been installed. The project utilized images from the Fort Collins Local History Archive to create the designs. Each turn of the century image portrays a different mode of transportation, and the colors echo the parking structure floor level colors. There are five images total, 4 on the exterior doors of the north elevator and I on the interior of the south elevator. 9] 7 West Map: olia • Fort Collins, CO 80521-2646 • (970) _�1 6, Cultural, 'irary and Recreational Services Fort Collins Museum City of Fort Collins FORT COLLINS MUSEUM REPORT CULTURAL RESOURCES BOARD May 2003 NEW ENTRANCE The Community Gala -Reopening introduced the new entrance and two new exhibits on May 10"'. Despite the inclement weather, 800 people braved the cold and snow and enjoyed carnival games by Den 4 of Cub Scout Pack 98, tours, balloons, magic and face painting. The Poudre River Irregulars played in the gallery to close out the event. At the Community Gala, the Fort Collins Museum Foundation introduced itself and a Founding Patron program that will run through the end of the year. The FCM Foundation is a non-profit fundraising arm for the Museum. PROGRAMS The Fort Collins Convention and Visitors Bureau held its annual Tourism Week Mixer in the Museum's Heritage Courtyard, May 14"'. Staff presented at the Golden K Kiwanis meeting on May 27. The Museum will be hosting a tour of our off -site storage facility for city staff, the CRB (and any other interested city boards) and Museum volunteers on Monday, June 2, 2-3p.m. FRANZ-SMITH CABIN RESTORATION On May 23-24, the Overland Trail Questers hosted a garage sale fundraiser with proceeds benefiting the restoration of the Franz -Smith cabin. The bidding process for the general contractor to perform the restoration will close on May 29`h. We anticipate construction commencing in June. STAFF Cheryl Donaldson, Assistant Museum Director, and Brenda Martin, NAGPRA Coordinator, will be presenting at the American Association of Museums Annual Conference in Portland, OR, May 18 — 22. The title of their discussion is "hi the Spirit of NAGPRA: Beyond Repatriation" and includes panelists from the Field Museum and the National Park Service. Jill Stilwell will also be attending the conference. The position of Curator of Education is still vacant, due to the hiring freeze imposed by the City in response to the downturn in the economy and reduction in tax revenue. A timetable for lifting the hiring freeze has not been established. On May 8, Jill Stilwell, Museum Director, graduated from the Leadership Fort Collins program through the Fort Collins Area Chamber of Commerce. Collins, CO 80521 April 29, 2003 Dear Libby, I am sorry that I didn't write a letter of explanation to go along with the checks — but I just wanted to get them to you as soon as I could. I am afraid I am not very good when it comes to the money end of things, and I am not very experienced when it comes to the actual business part of having a company. Unfortunately, I depended on the man that had been our treasurer to take care of the accounting. I just never even thought about it as we had no need to go into the account until it was time to put the grant money to use. You can imagine my surprise and horror to discover that not only was all the money gone, but I was minus almost $200.00H What I did not know was that a company called Cardservice was electronically debiting the account every month for almost $50.00 for their "services" (providing a credit card machine) which we hadn't even used since the last event over a year ago!!! I thought they were just taking a percentage of each transaction. I realize what a terrible mistake I made, and it has really made a huge mess of things. Anyway, I am truly sorry for this inconvenience, and believe me, I have learned a huge lesson from all of this. Libby, we have finally found a location within the city limits to hold the Front Range Music Fest before the end of June. We are actively putting together the promo for it and will do our best to give it the best possible exposure in the next month and a half. I respectfully request that you allow us to extend the date of the concert until the 26t" of June, now that the "dust is settling" after our fiasco. This year's theme is the "Family Legends" Concert and will feature successful area musicians and their families (children, or siblings) that are now also doing music and becoming successful. We are putting a deposit on the concert hall at the end of this week to hold it for us. Again, I want to apologize for all the trouble I have caused, but please know that this was not intentional, and I will not allow it to happen again.
